OntarioLearn Support Officer(Job Number: 510-22)Department: Continuing Education and Corporate TrainingCampus: BarrieClassification: Support StaffPosting Date: December 15, 2022Salary Range: $ 28.56 (start rate) - $ 33.11 (4-year rate)Hours per week: 35 hours per weekStatus: Contract (Appendix D)Effective Date: January 15, 2023 – February 12, 2025THIS IS A TEMPORARY REPLACEMENT POSITION FOR A BARGAINING UNIT EMPLOYEE. Terms and conditions of employment are as outlined in the Support Staff Collective Agreement.Reporting to the Dean, the incumbent works with program areas and the Registrar’s Office to support the development and determination of programs and courses for use in fully online delivery. The incumbent coordinates all Georgian College OntarioLearn (OL) activities, including course selection, promotion, delivery, exam preparation, textbooks, fee reconciliation, support for students and faculty and administrative duties associated with providing this program (marks, systems, schedules etc.). As a contact for OL, they would provide information and orientation to faculty, administrators, support staff, and students regarding expectations, policies, procedures, administrative requirements of OL. Works with Coordinators; Faculty; OL Administrators and partner colleges; Centre for Teaching and Learning (CTL); OL Quality Matters; College Sector Committee (ACE Distance), Contact North and eCampus Ontario. The duties include, but are not limited to:

  • Increasing the participation in OL courses at Georgian College
  • Reviewing new course and program offerings from OL consortium and advising the academic areas of credit courses or programs that may be of interest
  • Discussing claiming, scheduling and delivery with the Program Manager and Associate Dean and CTL
  • Preparing and completing all necessary application process with OL
  • Working with AD/PM/Dean/Coordinators to create courses and programs for OL delivery
  • Determining when each course should be offered for registration and frequency, for non-credit courses
  • Promoting OL courses to students, faculty, and potential students
  • Collaborating with marketing to prepare marketing material such as digital ads, signage, etc.
  • Developing OL website content and monitoring and updating the OL content on the GCSA student portal using a website content management system; preparing material for the P/T Studies guide; and preparing information packages and attends tradeshows
  • Providing resource information/materials to OL faculty who are teaching a hosted course and acts as a resource
  • Reviewing OL enrolment data and trends to monitor relevance of offerings
  • Coordinating set-up of OL courses, including providing guidance with Blackboard shells, Quality Matters Rubric quality assurance process and transferring shells to Embanet Server for course delivery
  • Creating CRNs for 9 to 12 intakes per year (depending on ACE Distance funding)
  • Monitoring enrollment daily during registration and withdrawal periods
  • Coordinating the examination process for OL courses at Georgian at all seven campus locations
  • Reconciling fees received for OL courses and fees paid to OL and the Service Provider
  • Acting a resource for OL students, responding to inquiries or complaints regarding course content, delivery, deadlines, etc.
  • Assisting students in locating OL course options seeking equivalencies in day programs including reviewing course content with the academic area, hosting college, and the student
  • Providing guidance to students with computer-related problems such as uploading or downloading assignments
  • Providing confirmation letters necessary for the student to access course material, purchase textbooks and write exams
  • Supporting the registration of students in the OL online Academic Upgrading program (ACE) by generating student accounts and registering students in the student information system (Banner), and inputting the information into the OL system
QUALIFICATIONS:
  • Successfully completed a two-year postsecondary diploma in a relevant field of study that may include, but is not limited to business and administration
  • Three years’ related experience in an educational institution
  • Experience in admissions, student support or program administration is an asset
  • Experience and competency with computer programs such as word and excel
  • Experience in the use of a website content management system, preferably WordPress, would be an asset
  • Experience using Banner, Cognos and CIM is preferred
  • Demonstrated experience working as part of an integrated, collaborative work group
  • Communication skills (written and oral) to develop and maintain relationships with students, employers and staff
  • Ability to work independently with initiative to meet department targets and deliverables
  • Time management and organizational skills in order to set priorities, handle multiple responsibilities in a high-volume environment
