Job Description

We are looking for an Administrative Assistant to join the team with the below duties:

  • Carry out administrative activities of establishment;
  • Conducts procurement activities (e.g. purchasing office supplies, and other goods and services, verifying invoices and bringing discrepancies to the managers’ attention with recommendations for resolution), in compliance with corporate procedures;
  • Oversee and co-ordinate office administrative procedures;
  • Conduct administrative activities to post-secondary educational institutions;
  • General office coordination including payment of invoices and routine expenses;
  • Establish work priorities and ensure all the processes are followed and deadlines are met;
  • Effectively manages the agent contracts and leasing agreements;
  • Co-ordinate and plan for office services such as accommodation arrangement, supplies, forms, disposal of assets, parking, maintenance and security services;
  • Responsible for office furniture, including orders, repairs/maintenance;
  • Assemble data and prepare periodic and special reports, manuals and correspondence;
  • Assist in preparation of operating and renovation budget and maintain our rental inventory;
  • Communicate with prospective tenants and property owners;
  • Organizing documents;
  • Answering inquiries through call/email/texts; and
  • Other tasks as required.
Job Qualifications
  • College degree; Bachelor degree is an advantage;
  • 2+ years of proven experience in an administrative or similar role;
  • Excellent oral and written communication skills in English;
  • Goal orientated, target driven and highly organized;
  • Able to work under pressure to produce results in a fast-paced environment;
  • Able to work with minimal supervision;
  • Proficient in Microsoft Office (Word & Excel);
  • Knowledgeable in Google Cloud Apps (Forms, Spreadsheet);
  • Proficient in using social media;
  • Photoshop skills is an advantage;
  • Real estate knowledge is an asset;
  • Own transportation (may be required to travel around HRM, as needed).
Job Type: Part-timePart-time hours: 20 per weekSalary: $14.00-$17.00 per hourSchedule:
  • Day shift

  • Bedford, NS: reliably commute or plan to relocate before starting work (required)
Education:
  • Secondary School (required)
Experience:
  • Front desk: 1 year (preferred)
  • Administrative experience: 1 year (required)
