We are looking for a full-time administrative assistant who enjoys people and would genuinely enjoy interacting with and assisting our clients everyday. We have lovely clients and are searching for an individual who will be our first-line representation when clients walk into our lobby or call our office.This is an opportunity ideal for a mature, conscientious-minded individual with strong interpersonal and organizational skills and exceptional attention to detail who wishes to be valued for their contribution to our team and our practice.In addition to ensuring our clients receive exceptional service, the role will also include performing administrative duties in support of our team consisting of two business owners and eight other professional staff, working in concert with another administrative assistant with a different, more data-focused, role. A black (non-shedding) golden doodle named Molly rounds out the team, however her tiny sister “Gigi†has started to show up for work in her place on the odd morning.Our accounting firm, Strong & Associates, has been providing service to our corporate, small business and personal tax clients for over 10 years. Growing from two people in 2011 to 10 people today, we understand the success of our practice is rooted in our people.We are pleased to offer the successful applicant an employee benefits plan, an RRSP matching plan, as well as 3 weeks annual vacation plus paid vacation between Christmas and New Year’s Day.Core Duties and Responsibilities: · Greeting clients, answering phones, arranging client appointments, accepting documents upon drop-off, and preparing documents for signing or pick-up· Administration of incoming client emails, including responding to client inquiries or redirecting to another team member for follow up· Organization and tracking of incoming client information, both electronic and paper· Drafting routine correspondence for review, including responses to CRA requests for support· Providing administrative (word and data processing) support to our team· Supporting our client billing function, including preparing and editing prebills for review· Initiating updates to client contact information among systems to ensure current and accurate recordsQualifications and Skills: · Graduate of an administration program, post-secondary program or equivalent administrative experience in a professional office environment· Gift for making people feel valued in interactions· Exceptional organizational skills and ability to manage a high flow of incoming information into well-documented client file content· Excellent computer skills are critical; high proficiency with Microsoft Office programs including Word and Excel expected· Strong written and verbal communication skills in English· An ability to adapt to shifting priorities, to take initiative, working independently and in a team· Diligence in meeting deadlines critical· A criminal record check will be required (paid for by employer)· Professional references are required_______Beyond the compensation range identified above, the Firm also:- provides a matching RRSP plan- contributes to the medical / dental plan- provides a minimum three paid weeks of vacation plus a week when the office is closed between December 24th and New Year’s Day totaling 4 weeks at minimum.All applicants will be kept in strict confidence.
