This is a hybrid position serving two of our companies: Proedge Elite Training & Ad Astra International.Proedge is revolutionizing the fitness training industry in Halifax by offering a space dedicated exclusively to personal trainers and their clients. For more information visit our website at www.adastra.ca.Position SummaryAt Proedge the Assistant Manager plays a critical role in providing an elite experience to trainers, prospective trainers and visitors to our facility. Together with other members of the Proedge Elite Training Team, the Assistant Manager is an ambassador for the organisation and will be the first point of contact for enquiries and staffing needs.At Ad Astra we are currently seeking a dedicated and motivated bookkeeper and office administrator who will work with our finance team to provide bookkeeping and general office support. The ideal candidate will understand accounting principles as they relate to medium-size businesses, and work with management to guide financial planning strategies.Reports to: · Director of Finance· Operations ManagerJob Responsibilities: The Assistant Manager and Office Administrator will perform a wide range of duties including some or all of the following:General Office Administration
  • Prepare and review invoices
  • Process incoming wire transfers
  • Process bank reconciliations
  • Prepare accounting related entries to various registers including journals and internal logs
  • Review customer accounts, process refunds, and correspond with staff and customers
  • Track monthly expenses and post expense reports
  • Prepare payments to vendors
  • Track expenses and assign to projects
General Proedge Administration· Provide exceptional customer service experience to all trainers, prospective trainers, and visitors· Maintaining a clean and tidy environment throughout Proedge facility· Ensuring the safety and security of visitors, trainers and staff at all times and taking a responsible attitude towards maintaining the premises and facilities· Serving trainers, taking money for activities and accurately accounting for transactions· Balancing and recording cash taken in during all shifts. Will be responsible for making bank drops· Be a leader for a small team· Making sure daily/weekly/monthly task list is completed· Responsible for staff scheduling and correspondence· Employee clock-ins and clock-outs on Mindbody. Review and ensure staff are being punctual· Producing employee time-sheet reports in Mindbody to prepare for payroll· Maintaining control of accounts receivable owing· Responsible for inventory control, and conducting quarterly inventory counts· Entering new contracts and pricing into POS booking system· Keep retail space visually appealing and professionalOther
  • Email and phone communication with consultants, clients, and vendors
  • Develop and implement policies/procedures to ensure financial information is secure and stored effectively and in compliance with current legislation
  • Other finance/accounting/management related duties as assigned
Qualifications
  • Minimum 1-2 years’ experience in a similar office administrator and/or Assistant Management role
  • CPR/AED/First Aid Certification.
Requirements and Key Skills
  • Knowledge of Sage50 accounting software, Microsoft Excel, Microsoft Word, and MindBody
  • Strong accuracy, attention to detail, investigative, and problem-solving skills
  • Ability to work independently and take initiative in accomplishing tasks or improving processes
  • Excellent interpersonal, verbal, and written communication skills
  • Strong organizational and time management ability to help meet deadlines
  • Ability to be a leader for a small team of staff

Working Environment · The position will mainly work from our Proedge location in Bedford, however will be required to work on a casual schedule from our office in North End, Halifax· 40 hours/week. Have open availability including early morning, late evening, and the occasional weekend shift· Generous holiday schedule and standard vacation· Company health benefits availableCompensation
