Job Description

Our footprint is in excess of 2 million square feet throughout North America.Scope/ Overview of Position:The Administrative Assistant provides clerical and administrative support to the Facility Directors of our Bolton campus (2 facilities). This person will provide support to two (2) facility Directors and up to 8 Operations Managers. The goal of this role is to reduce or where possible eliminate administrative work that is being performed by the Operations Leaders to allow them to focus more time and effort on building a high-performance team culture and improving operational performance.Key Responsibilities & Duties:

  • Organize and coordinate meetings, including setup of conference calls/video equipment. Issue invitations, coordinate agenda, facilitate communication, and prepare meeting minutes as required.
  • Collect, extract and input key operational performance data into various Dashboard and Key Performance Indicator (KPI) Tracking Reports. Distribute in a timely manner to the required audience.
  • Liaison with key client contacts as required to review and validate specific KPI data/ results.
  • Prepare PowerPoint Presentations to be shared with internal and external stakeholders.
  • Create and populate new reports for the Site’s leaders as required.
  • Assist with the planning and/ or coordinating of various associate events for the two sites.
  • Manage the administrative processes of the CHEP Program for both buildings.
  • Helps organize and coordinate the supplies requisition process for the sites while working closely with our Corporate Procurement Team to ensure strict adherence to related policies and procedures.
  • Submits expense reports on behalf of the senior leadership team for the sites.
  • Other duties as assigned.
Qualifications, Education and Experience Required:
  • Minimum of 3+ years of experience as an Administrative Assistant reporting directly to the mid to senior level of management
  • Post-Secondary education in Business/ Office Administration or Business Management an asset.
  • Previous work experience in a distribution or warehousing environment an asset.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat.
  • Your Excel skills must be at the intermediate level to perform this role.
  • Must be able to work under precise deadlines and demanding workload.
  • Excellent communication skills, strong attention to detail with an ability to multi-task and to prioritize the needs of many.
  • Strong organizational and problem-solving skills.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including the leadership teams at both sites, the associates and our external partners.
  • Solid written and verbal communication skills.
  • Proven ability to handle confidential information with discretion, be adaptable to various
competing demands and demonstrate the highest level of customer/client service and response.
  • Forward looking thinker, who actively seeks continuous improvement opportunities and proposes creative solutions.
