Learn more about this opportunity below:We are seeking a full-time Payroll & Benefits Coordinator to join our team. You will ensure the payroll and benefits policies and processes for our employees remain top priority. Primarily, this role is responsible for processing payroll and completing all bi-weekly and monthly reports as well as assisting staff with payroll needs.Responsibilities and Duties- Collaborate with the HR department by maintaining records and processing employee changes related to payroll, including salary changes, status changes, internal position updates, management updates, as well as sift rotation changes.- Communicate with payroll process owners and ensure that scheduling needs are completed in our HRM software, including authorizing hours worked, approving time-off requests, coding absenteeism and additional payroll authorizations before the payroll processing deadline;- Once the payroll deadline has passed, validate scheduling information and follow-up with process owners for any discrepancies and complete quick entries to ensure correct information is processed;- Verify record submissions and complete entries in our HRM software for commissions, bonuses, expenses, retroactive payments, employee purchases, additional benefits owing, and premium corrections on a bi-weekly basis for payroll processing;- Work with the HR Department to process medical benefits enrolments, plan changes, calculate payroll deductions and updates, as well as plan terminations and ensure all information is updated in our HRM software and benefits portal;- Monitor overtime, double time, and other payroll trends and report to process owners as needed;- Assist the HR department with educating and presenting information to Management and employees on any changes and upgrades to all payroll and benefits systems and programs;- Validate information received from the HR department regarding employee leaves of absence, and update all systems accordingly;- Audit monthly medical benefits invoice and ensure payroll changes are made when there are updates to plan charges;- Collaborate with the HR department and Pension plan representatives to process plan enrolments, changes, and terminations on a monthly basis;- Once payroll is completed, submit pension contribution remittances in our pension portal;- Once payroll is completed, submit accompanying journal entries to the Finance department by utilizing payroll register information;- Ensure that bi-weekly payroll spreadsheet is maintained for tracking employee payroll items;- Process monthly accruals and reversals for wages, pension, and vacation and ensure that the journal entries are submitted for each;- Complete WorksafeNB’s monthly earnings reports and ensure updates are made for contract workers and payroll deduction amounts;- Process monthly Garnishment reports and send to FSOS, as well as processing Garnishment payments each payroll;- Deliver monthly medical benefits invoice to the Finance department to ensure that payment is completed;- Process month-end duties, including Employee counts, KPIs, working papers, and any additional reports needed;- Complete year-end audit requirements as instructed by our Finance department;- Process annual employee T4 information and assist with employee discrepancies and correct any information as needed;- Audit and maintain time-off balances for vacation, personal, and banked hours and assist managers with any issues or concerns that may arise regarding these balances;- Assist the HR department by supporting employees with login issues, benefits and pension inquiries, time-off balances, and payroll discrepancies;- Act as point of contact for Service Canada regarding payroll and ROE information they request.Qualifications- Professional level of written and oral communication required; both official languages an asset;- Education or equivalent experience in Payroll or Business Administration preferred;- Superior time management and organizational skills required;- Extensive computer experience with Microsoft Office tools, internet access/usage as well as HRM or Accounting software preferred;- Light physical effort – able to lift between 5 and 20lbs at times;- Able to remain calm while under pressure;- Able to work proficiently in a team-oriented setting, as well as independently;- Able to work overtime if needed;- Ability to sit for 1-4 hours at a time;- Ability to perform repetitive tasks for long periods of time.Employees should be willing to learn and eager to bring new ideas to their team.
