The Administrative Assistant acts as a liaison on behalf of the Director with other leaders, physicians, staff and internal/external stakeholders. The Assistant works independently or as a team member to provide a variety of support services to keep the portfolio well organized and efficient.Primary Responsibilities:Coordinates and collaborates with the Director to maintain their schedule on a daily basisArranges appointments and meetings in partnership with the Director(s) and Clinical ManagersAttends and coordinates internal and external meetings as required for administrative support ; Ie: Agenda planning, records minutes and assists at various committee meetings during and out of business hours.Schedules, coordinates and gathers information for presentations at various committees, workshops and appointments that involve outside agencies, consultants and hospital personnelSchedule performance appraisals as requiredAssists with expense statementsCollaborates with and acts as the liaison between the Director, physicians, hospital staff and community partnersCoordinates regional projects/meetings when Director(s) required to lead or attendEstablishes effective work routines/procedures/systems/priorities to ensure efficient workflow and meeting of deadlinesEnsures follow-up services are provided in a timely mannerCompletes and submits Payroll data for the DirectorProvides clerical support by determining the nature and urgency of situations; provides information or determines appropriate referrals/intervention and informs Director when situation warrants attentionPractices excellent communication and interpersonal skills to courteously screen and respond, in a pleasant manner, to personnel inquiries from internal and external sourcesMandatory Qualifications:Minimum 2 year College Diploma, Secretarial Program2-3 years of related work experience, preferably within an administrative environment.Medical Terminology Certificate an assetMandatory Competencies:Experience in an acute and complex continuing care settings preferredExcellent communication, interpersonal, critical thinking and time management skillsExcellent customer service skillsDemonstrated commitment to BCHSDemonstrated ability to work both as, a member of a multidisciplinary team and an independent professionalDemonstrated proficiency in all aspects of Microsoft Office (Word , Excel, Power Point, Access, Outlook)A high degree of enthusiasm, tact, diplomacy and confidentialityDemonstrated knowledge of quality improvement processesDemonstrated commitment to professional growth and development of self and otherExceptional organizational skillsMust be able to work in a fast paced changing and demanding environment.Ability to occasionally be flexible with working hoursThe position requires the ability to remain calm and effective in stressful situations, meet deadlines and work well under pressure.
