With the ability to self-perform across our diverse business offering and a strategic fabrication network, Aecon Industrial proactively and profitably manages projects across a diverse range of industrial business areas. (Renewable Energy, Natural Gas Distribution, Oil and Gas, Water, Mining, Cogeneration Energy, Chemical, etc.).Reporting to the Director - Finance, the Receptionist will be responsible for communicating with office staff, visitors, customers, vendors and suppliers.Note: This is a contract position of up to 1-2 months.Key Responsibilities

  • Answers phones and attends to visitors at the front desk.
  • Directs phone calls and visitors to the appropriate personnel.
  • Checks phones messages regularly as calls can be missed during the day.
  • Keeps the front entrance and reception area neat, tidy and presentable at all times.
  • Provides assistance to the accounting, payroll, project and admin areas as requested in filing, matching invoices with shipping documents and PO or photocopying materials.
  • Coordinates office administration matters (e.g. janitorial services, social events, etc.).
  • Monitors the supplies inventory, and replenishes when required.
  • Maintains the kitchen area ensuring it remains in order.
  • Prepares mailings or courier requests.
  • Assures job and project files are organized and in correct filing locations.
  • Other related general administrative duties as required.

Required Knowledge and Experience
  • Superior customer service.
  • Good computer skills using MS Office Products.
  • Must be able to deal with sensitive issues in a confidential manner.
  • Strong communication skills, dealing tactfully with employees, visitors and customers.
  • Problem solving, planning and organizational skills, ability to prioritize tasks, work to timelines.
  • Knowledge of office methods and procedures, equipment and filing systems, both electronic and manual.
  • High school Diploma and preference for post-secondary with a business or administrative diploma.
