POSITION: TEMPORARY FULL TIME ADMINISTRATIVE ASSISTANTDEPARTMENT: FACILITIES PLANNING AND REDEVELOPMENTPosition Summary:Reporting to the Manager, the successful applicant will be responsible for providing a variety of support services to Maintenance and Redevelopment as well as assisting with departmental tasks as required. The applicant will work independently, using judgement and demonstrating critical thinking skills.Education Requirements:Graduate of a 2 year Administrative College Diploma or related program.Mandatory Qualifications:2 Years’ experience within an administrative role.Expertise in Microsoft office –Word, PowerPoint, Outlook with advanced Excel and MS project skillsPrimary Responsibilities:Will provide administrative support to Maintenance and RedevelopmentWorking with user/consultants assisting in preparation of schedules and plans for renovation/construction projects.Perform all duties within current and relevant professional, legal and ethical standards.Utilize PowerPoint, Microsoft Word, Excel and Outlook for project assistance and scheduling.Minute taking and distribution of minutes, notices, memos, project status and work plans.Attends and coordinates internal and external meetings as required.Attends various meetings and maintains logs which includes follow-up on action items to ensure that all imposed timelines are met.Maintain and update of signage and wayfinding throughout both sites.Monitor contractors and ensure that schedules are being met, lead contractor orientations.Communicate professionally with all clients.Ensures follow-up services are provided in a timely manner.Oversee small moves and assist in space allocation.Place maintenance service requests as required.Works under pressure of deadlines with minimal supervision.Uses initiative and good judgment to ensure that matters requiring immediate attention are referred to the delegated authority.Exercises good judgement in dealing with confidential matters.Practices excellent communication and interpersonal skills to courteously screen and respond, in a pleasant manner, to telephone and personal inquiries from internal and external sourcesCompletes and submits payroll data for all staffParticipate in special projects and other duties as assigned.Mandatory Competencies:Excellent communication, interpersonal, critical thinking and time management skillsExcellent customer service skillsDemonstrated leadership abilityDemonstrated ability to work both as, a member of a multidisciplinary team and an independent professionalDemonstrated proficiency in all aspects of Microsoft OfficePromotes Interdisciplinary Team collaboration and consultationDemonstrated expertise in problem solving, decision-making, and evidence-based practiceDemonstrated commitment to professional growth and development of self and othersCreative and flexible critical thinking skillsA high degree of enthusiasm, tact, diplomacy and confidentialityDemonstrated commitment to BCHS.Ability to occasionally be flexible with working hoursReliable individual with excellent attendance record and able to work all shiftsPreferred Competencies:Project planning and coordination experience an assetPrimary responsibilities also include:Safety (patient, worker & workplace) is a BCHS Corporate Priority.
