Job Description

This position also assists with customer service and provides administrative support to the Director as required.Responsibilities:

  • Provide a wide range of administrative services, which may include support for confidential issues.
  • Assist senior staff involved in projects with administration and support and assumes responsibilities of Administrative Assistant to the Director during absences.
  • Has a lead role in certain administrative tasks on behalf of the department including:
  • Provide support for seasonal hiring process and generate contractual paperwork
  • POS administration
  • Records retention
  • Generate and track union and seasonal staff performance evaluations
  • Coordinate the preparation of various departmental publications and correspondence for internal and public distribution.
  • Acts as the liaison for the Roads, Parks & Forestry Department regarding insurance claims correspondence with the Finance Department and the city’s insurance adjuster.
  • Provides support to customer service staff, particularly during peak periods and significant weather events.
  • Responds to service requests, requests for information and complaints from the public and other departments.
Requirements: The successful applicant requires a high school diploma and at least two years of work experience in an office administration capacity, including basic business and accounting skills. The incumbent also requires strong computer skills, specifically with the Microsoft Office programs. The Administrative Assistant must also be able to meet deadlines, demonstrate initiative and work with minimal direction.
