Job Description

Live Answer is the pathway to accessing ROCK’s child and youth mental health services, general information, and referrals at ROCK and across the Halton Region. The Administrative Assistant on the Live Answer team will play a key role in providing information and supporting access to services.RESPONSIBILITIES

  • Answer and navigate incoming Live Answer calls from clients, caregivers, and community service providers.
  • Respond to general information inquires and provide resources.
  • Forward calls to Access and System Navigation as necessary and make supportive connections to Crisis Services.
  • Provide support and registration for connection to ROCK’s virtual walk-in clinic.
  • Provide support for ROCK’s Live Answer Chatbot system (Quinn) by communicating online and providing information and resources to live chat users.
  • Provide administrative assistance processes, including CaseWORKS (client registration, scheduling appointments, and general inquiries for CaseWORKS coordination).
  • Maintain a professional and well-kept appearance of the central foyer and main reception area.
  • Complete daily general office duties, including but not limited to filing, photocopying, scanning, faxing, organization of meeting space for internal events, and checking voicemails.
  • Participate in ongoing QI cycles to work towards well-defined goals that support the organization.
  • Operationalize client safety through adhering to established policies and guidelines that ensure consistency in the delivery of quality and safe care, and by identifying and reporting any client safety incidents
  • Abide by the specific requirements of Section 28 of the Occupational Health and Safety Act, as well as any further health and safety responsibilities outlined in the agency’s policies and procedures.
  • Other duties as may reasonably be assigned.
QUALIFICATIONSEducation:
  • A Grade 12 diploma at minimum. Post-secondary education in the social service field (SSW, CYW) would be considered an asset.
Experience:
  • A minimum of one year experience in a reception/secretarial position.
  • Previous experience in a social service setting preferred.
  • Experience and comfort providing support to clients over the phone would be considered an asset.
  • Experience working from a virtual platform.
  • A minimum of one year experience in a reception/secretarial position.
  • Demonstrated competence with data entry and the utilization of a client information system.
Skills:
  • Proven ability to provide an optimal customer service experience.
  • Excellent interpersonal skills and collaboration skills.
  • Ability to interact with staff at all levels and maintain effective working relationships.
  • Ability to take initiative and work both independently and collaboratively as part of a team.
  • Excellent organizational and administrative skills, including strong attention to detail with commitment to high quality work.
  • Demonstrated proficiency with MS Office Suite programs at an intermediate level (i.e., Word, PowerPoint, Excel).
  • Proficient in the use of technology as required of the position, including working in a virtual environment with MAC OS operating systems experience preferred
  • Demonstrated competence with data entry and the utilization of a client information system.
  • Familiarity of CaseWORKS is an asset.
Additional Requirements:
  • Evening hours may be required.

  • Travel between all ROCK offices may be required.
  • Requires flexibility and adaptability to be reassigned to different sites at a moment’s notice.
  • A current (within three months) criminal reference check with vulnerable sector search.
