Learn more at www.boehringer-ingelheim.ca.THE POSITIONResponsible for performing daily ongoing project management and administration across a variety of functional areas within Customer Marketing (Brand teams, Customer Experience Operations) to support the Customer Marketing team to ensure timely development and execution of IBP/ICPs(Integrated Brand & Customer Plans),customer campaigns, budget management, calendar management, inventory management and special projects. This position works closely with all customer marketing staff and related internal and external stakeholders.Responsibilities

  • Support for Supervisor: Provide administrative support as needed.
  • Support for Customer Marketing Department: Responsible for daily administration support for the department (eg. maintaining organization chart and contact lists, on-boarding support for new hires, administration of department budget tracking). Coordination and implementation of department meetings and educational lunch and learn sessions.
  • Support for assigned Therapeutic Areas (TA): Support the Customer Marketing Managers (CMM) and Directors in the implementation of the customer campaigns, based on the approved ICPs. Partner with CMMs to identify process improvement and assist in streamlining and improving efficiencies. Financial support for TAs (including Alliance), agency interface, inventory management, administration (invite/travel/honorarium) support for consultancy meetings, adhoc projects. Accountable for timely and accurate processing of Purchase Orders (PO) and invoices.
  • Train and mentor new Customer Marketing Coordinators. Cross-train Coordinators from other departments to fill in during vacations and times of heavy workload. Cross-train with other departments to expand knowledge of the company and fill in while other Coordinators are away.
Requirements
  • College or University degree (focus on business or finance administration is preferred)
  • Minimum 3 years experience working in an administrative support role in a highly demanding/complex organization
  • Communicating clearly and concisely, both orally and in writing (bilingual an asset).
  • Strong computer skills (Microsoft Office Suite) and aptitude for corporate systems and software (VEEVA, Concur, Axapta, GBS). Agility to adapt across systems.
  • Proficiency in working independantly and proactively to manage multiple projects, duties and assignments. Collaborative style when working with internal partners and stakeholders, and an ability to influence without authority. Exceptional time management, attention to detail, organization and project management skills. Experience managing vendor relationships. Communicating clearly and concisely, both orally and in writing. Strong computer skills (Microsoft Office Suite) and aptitude for corporate systems and software (VEEVA, Concur, Axapta, GBS). Agility to adapt across systems.
