Job Description

Essential Duties and Responsibilities include the following, however, other duties may be assigned. Reasonable accommodations can be made to enable individuals with disabilities to perform the essential functions.Document Control Support to include but not limited to:

  • Fully utilizes document systems (such as Procore) for the best practices across the project
  • Leads the document control efforts and provides effective direction internal, subcontracting partners, and suppliers.
  • Ensures efficient and timely processing of documentation.
  • Liaise with IT to ensure all document management equipment (hardware, software, etc.) is maintained.
  • Adheres to work processes and procedures such as Engineering Document Control, Correspondence Control, Contract or Vendors Data Management, Standards Management, Project Standards and Document Numbering (RFI #39;s, submittals, transmittals, engineered drawings, etc)
  • Works closely with various groups (coworkers, subcontractors, vendors, client) to ensure they achieve maximum efficiency in document control process.
  • Generates, files and distributes forms, correspondence, maintains logs, etc. from project start-up to project closeout, Including but not limited to:
  • Letters, Transmittals, Memos, Meeting Minutes, Daily Reports, Request for Information (RFI) Log, COR Log, CO Log, Weather Day Log, Submittal Log, Cost Code Log, Correspondence Log, Set up and maintain First Aid Kit.
  • Assists in tracking and monitoring productivity data where applicable
  • Supports the onsite purchasing process and follows-up in expediting subcontracts and material purchases
  • Forwards paper work to the Tools and Equipment department and follows-up ensuring the equipment required has arrived on site
  • Ensures the Procor system for contract documents in accordance with auditing procedures
  • Ensures that updated drawings, RFI #39;s,and submittals are distributed as required.
  • Ensures office equipment is maintained and is in good working order
  • Provides general field office and project control support to the project (size of project will determine the percentage of time devoted to project controls)
  • Prepares submittals
  • Performs other administrative duties, as required
  • Supports the collection and assembly of project start-up, commissioning, and close-out documents
  • Assists in obtaining proper permits relative to project requirements
  • Provides general field office and project control support and services to a project (size of project will determine the percentage of time devoted to project controls)
Cost/Accounting/Procurement Support to include but not limited to:
  • Submits subsistence forms if necessary
  • Assists with payment application to owner
  • Process (code, forward or approve) invoices via Workflow
  • Prepares submittals
  • Sets up local vendors (trash service, water service, etc.)
  • Compiles and maintains an inventory management log of material requisitions to include date requested, requestor, material ordered, vendor, date ordered and date(s)amp; quantity received
  • Provides cost and project progress reports to Management

  • Performs other duties as assigned by the Supervisor
Education, Experience and SkillsPost-secondary degree/diploma in Business Administration, Engineering or equivalent and 5-7 experience, ideally in construction. Advanced working experience with Microsoft Office products. Procore software skills are an asset.Technical and Mental Skills
  • Possesses strong communication skills and can build relationships with subcontractors and supplier counterparts
  • Assembles documents such as operating and maintenance instructions, and procedure manuals for review
  • Assembles routine reports and correspondence provided by others
  • Defines problems, collects data, establishes facts, and draws valid conclusions
  • Organizes and manages time, duties and activities efficiently
  • Ability to perform routine tasks
