Learn more at www.boehringer-ingelheim.ca.THE POSITIONThe Animal Health Marketing Coordinator (Pet Business Unit) will support the markerting and sales teams to achieve business objectives. The Marketing Coordinator will be primarily responsible to: coordinate marketing activities including promotional materials and marketing materials; to coordinate, organize and manage events,conferences and trade shows; to manage and track financial process flow (SOWs,POs,accruals and invoice processing) to budget; to support sales and marketing team according to BIAH processes and procedures; and to coordinate and liaise between different departments and both internal and external stakeholders.ResponsibilitiesMARKETING and SALES SUPPORT

  • For the defined species area, support the Marketing Manager, Brand Managers, District Sales Managers, National Sales Manager and Business Unit Director to ensure business objectives are met.
  • Support and execute marketing tactics , coordinating with internal and external stakeholders under the direction of the Marketing Manager or Brand Manager.
  • Lead meetings with Brand and Marketing Managers to review project priorities with team. Track progress of key projects with internal and external stakeholders as required.
  • Complete requirements for documentation including loading of various documents, hotel/venue and other vendor contracts and speaker agreements etc into compliance tracking and repository systems.
  • Participate and support marketing or sales strategy meetings (especially around tactic development) as required.
  • During meetings, take notes that accurately reflect the decisions and discussion that took place, as directed. Document these notes into meeting minutes and distribute to all relevant participants, ensuring a copy is also filed appropriately
FINANCIAL PROCESS FLOW
  • Manage financial process flow for Direct Promotional spend including signing and inputting of SOWs to obtain approvals for purchase order (PO) and processing of invoice payments. Ensure all expenses are routed appropriately and approved within 5 business days and assist with resolution of any discrepancies.
  • Track and monitor promotional spends (and pre-ledger commitments) to budget to ensure brand financial objectives are achieved, including monthly budget reconciliations to Brand Managers, Marketing Manager (and BUD where required).
  • Coordination of accrual process monthly for Brand Managers and finance to meet deadlines assigned by finance.
MEETING and EVENT MANAGEMENT
  • Facilitates the organization of internal and external meetings, conferences, trade shows and sponsorships.
  • Coordinate internal sales meetings for assigned species, including timely booking of accommodations (where required), sourcing and planning team activities and dinners (with input from management team). Participate in meeting planning discussions around meeting strategy, agenda, speaker choices, etc and ensure action items are documented.
  • Support execution of National Sales/Business Meeting as required. Facilitate species-specific sessions within the meeting, including room set-up, meeting minutes, workshop facilitation etc. Plan species-specific meals & activities.
  • Coordinate logistics for registrations, booth and materials for external customer meetings including national trade shows, forums and sponsorships
  • Complete requirements for conference/meeting documentation including loading of various documents, hotel/vendor contracts and speaker agreements etc into compliance systems.
  • Schedule, coordinate and generate meeting minutes for internal species specific meetings. Circulation of meeting minutes once approved.
  • Coordinate and support web-based video conferences as needed
PROGRAMS AND PROMOTIONS SUPPORT
  • Sourcing and coordination of office-supplies, printing and promotional items, including obtaining quotes and managing shipment to materials warehousing (eg. DGN), external partners or Field Force as guided by Marketing/Brand Manager.
  • Monitor and manage marketing materials inventory, collateral and accessory equipment/parts, including monthly reporting of inventory and recommendations to brand managers on items to be re-ordered. Ensure CRM is aligned with DGN and all available parts/pricing where appropriate.
  • Stakeholder liaison for promotional programs to support execution. May include supporting free goods requests from internal stakeholders as needed.
  • Liaise with Technical Services Veterinarians (TSVs) to ensure that Technical Bulletins are updated prior to expiry dates, approved and email fragments or copies for sales force are updated where necessary.
  • Support distribution of rebate cheques to customers where required.
  • Support communication of stock status to field force as requested by Marketing/Brand Manager.
  • May support Brand Manager with CLM updates and email fragments, as well as document routing, signing, approvals and translation.
COMPLIANCE
  • Performs all BIAH business in accordance with all regulations and Boehringer Ingelheims compliance guidelines and procedures. When violations are noted/observed they are to be immediately reported to management. Demonstrates high ethical and professional standards with all business contracts in order to maintain Boehringer Ingelheims excellent reputation within the industry.
Requirements
  • Minimum requirement - College Diploma or University degree with a focus on office administration, marketing, finance or business is preferred.
  • Strong working knowledge of Word, Excel and PowerPoint
  • Strong aptitude for corporate systems and processes.
  • Team player, agile, organized, strong attention to detail with exceptional planning and time management skills.
  • Project management.
  • Financial acumen/proficiency/analytical skills.
