Job Description

Employment Term: September 26, 2022 to March 31, 2023Summary:The Program Assistant provides administrative support to ensure that day-to-day office operations of the S.U.C.C.E.S.S. Business Centre is kept to a high standard.Reports to: Senior ManagerKey Duties & Responsibilities:

  • Monitors and maintains office supplies and equipment inventory
  • Maintains the organization and neatness of office
  • Receives clients and handles enquiries
  • Performs data entries
  • Manages databases and compiles statistics for reporting
  • Maintains digital and physical filing systems
  • Assists with venue/appointment bookings and classroom set-up
  • Supports webinars, taking participants’ attendances
  • Handles agency accounting procedures (e.g. purchase orders and inventory records)
  • Assists in the development of reporting templates
  • Assists with conducting of surveys and research for proposal writing
  • Updates community resources on a regular basis
  • Participates and prepares minutes for team members and committee meetings
  • Assists in service promotion and digital marketing
  • Assists in the maintenance and update of program websites
  • Assists in the implementation of health and safety guidelines in the workplace as per internal policies and provincial regulations
  • Other related duties as assigned by the senior manager
Education, Training & Experience:
  • Post-Secondary education or equivalent experience
  • Experience working in an office environment
  • Experience working in a multilingual and intercultural workplace
  • Experience working with a diverse clientele
  • Experience in Paramount Workplace software
  • Knowledge of administrative and accounting practices
  • Knowledge of digital marketing
  • Knowledge of the social services sector
Job Skills & Abilities:
  • Excellent written and oral communication skills
  • Additional languages are considered an asset
  • Excellent technical skills in MS Office and web-based applications
  • Excellent interpersonal skills
  • Excellent attention to detail and commitment to excellence in service delivery
  • Excellent record management skills with clear understanding of data security and confidentiality
  • Ability to work independently and as a part of a team
Other Requirements:
  • Criminal Record Check Required
  • Ability to work evenings and weekends as required
  • Ability to work at multiple locations within the service catchment area
