Job Description

Title: Administrative Assistant (SA Centre)Reports to: Career Services ManagerFT/PT: Full-TimePermanent/Temporary: Temporary, contract ending September 2023 with possibility of extensionWage: $44,740Work hours: Monday to Friday, 8:00AM-4:00PMWho We Are.The Student Association of BCIT is a non-profit student services and advocacy organization at the second largest post-secondary institution in British Columbia. The SA supports and enhances the quality of student life for over 48,000 full-time and part-time students across five campuses. Students lead our organization and drive our strategy. Everything that we do is about increasing the value of the student experience.The Position.The Administrative Assistant for the Student Association Centre (SA Centre) is responsible for providing overall administrative support to the SA Centre and Student Services teams as a whole. You receive and direct all visitors and act as a first point of contact at the SA Centre. You are a resource for students and provide information on all BCITSA and BCIT programs and services, and you direct students to the correct staff persons for assistance. You provide technical support and troubleshooting and maintain a strong knowledge of department systems and software. You also assist programs by helping to recruit participants, with department reporting and with other program-related duties. Finally, you perform various administrative functions, assist all Student Association staff as needed and provide back-up to other Administrative Assistants within the organization.More specifically, your key duties and responsibilities will be the following:

  • Greet visitors to the SA Centre with an authentic, friendly, helpful, and professional demeanour
  • Provide overarching administrative support to the Student Services department and manage the front desk by answering and redirecting calls, delivering appropriate messages and overseeing the SA Centre voicemail
  • Source and maintain a thorough knowledge of BCIT and BCITSA programs, services, events and contacts, and be able to provide all appropriate information and resources to students as requested
  • Assist students with accessing BCITSA, BCIT & community services Coordinate and provide BCITSA orientation presentations
  • Develop and maintain a good knowledge of campus layout building names and amenities in order to direct students and visitors
  • Maintain department databases and software
  • Support the automation of services and programming within the department
  • Maintain knowledge of IT systems and provide on-site IT support for the department; liaise with external IT support when necessary
  • Maintain administrative equipment and oversee any repairs
  • Assist with employer inquiries and refer employers appropriately to Career Specialists
  • Gain fluency in the department’s CRM and maintain employer contacts and communication
  • Collect and maintain data for ongoing evaluation of programs and services
Other related duties are the following:
  • Assist the Student Services Department in the planning, support and delivery of services, events, and promotions
  • Assist students in accessing our programs, registering, and setting up appointments
  • Communicate program processes to students and register participants for programming
  • Order office and other supplies
  • Maintain knowledge of administrative functions across the Association and provide back-up support when requested
