Job Description

Engineers and Geoscientists British Columbia is currently searching for an Executive Assistant to join our team in Burnaby! This role will serve as Executive Assistant to the Chief Financial and Administration Officer (CFAO), Chief Operating Officer (COO) and Chief Regulatory Officer and Registrar (CRO), and is responsible for providing a senior level of administrative and executive support including assisting in the delivery of strategic objectives.The successful candidate will be joining a high-performing team at one of BCs Top Employers, helping the organization to meet and exceed its goals and vision outcomes.WHAT YOU WILL BE DOING

  • Providing confidential and personal executive support to the CFAO, COO and CRO including managing and maintaining calendars and daily activities, managing expenses, preparing, tracking and filing expense reports, and making travel arrangements.
  • Preparing confidential correspondence; monitoring, responding to and distributing incoming communication.
  • Doing research and preparing reports, presentations, documents, and agendas; conducting statistical analysis including retrieval of data from several databases.
  • Providing support to the Audit Sub-Committee, Building & Space Planning Taskforce, Engineers and Geoscientists BC/ASTTBC Joint Board, and other Sub-Committees as assigned by coordinating meetings, preparing agendas and background materials, taking minutes, as well as working with the sub-committee chairs.
  • Preparing and Distributing formal meeting minutes and action lists, as well as any other correspondence required by the committees. Collating meeting materials for and booking appointments with government officials.
  • As directed by the CFAO, COO or CRO, preparing and/or updating information on the Engineers and Geoscientists BC Intranet and External Website.
  • Providing workload support for the Executive Assistant to Council and the CEO; is prepared to provide coverage for the role (e.g. for vacations, leaves and absences).
  • Assisting with venue logistics for Council meetings as needed; ensuring presentations are prepared including photocopying, scanning, and bindings of materials and other documents required; handling other administrative and clerical duties as required.
  • Representing the Executive Office on the Document Management Group. Working with Directors, IS, CEO, COO, CFAO and CRO to ensure that the Executive Groups files are compliant to Document Management Policies.
  • Other duties as assigned by management.
WHAT YOU BRING TO THE TABLEThe successful applicant will possess the following:
  • Bachelors degree in business administration, marketing, communications, or a related discipline is preferred
  • 5-7 years of relevant work experience supporting executives and senior leadership
  • Excellent communication skills, both written and verbal
  • Strong computer and typing skills; proficiency in MS Office (Outlook, Word, Excel) and document management systems
  • Ability to multi-task and manage time efficiently
