In performing the core functions of this position, the Executive Secretary will work directly with the HR team and maintain close working relationships with other staff in the District Administration Office. The position is responsible for performing highly confidential secretarial and administrative support duties at the senior management level. This job requires discretion and tact in handling confidential and sensitive management information related to Board operations as well as the application and amendment of collective agreements.The Executive Secretary to the Executive Director of HR will:Provide confidential executive administrative support;Be thorough, conscientious and attentive to detail to ensure quality work;Quickly and accurately prepare a variety of documents, reports and correspondence;Compile, evaluate and organize relevant information to respond to inquiries;Provide clear, concise and timely information in response to verbal and/or written inquiries from internal and external clients and stakeholders on human resource processes and procedures;Format correspondence, record meeting minutes, generate reports, manage schedules, order supplies, process invoices, and coordinate meetings/events and travel arrangements;Plan, organize, prioritize and accurately complete multiple tasks while dealing with frequent interruptions and tight timelines;Provide support to the Board, Board Committees and District Committees;Develop and maintain internal procedure manuals and tools;Organize and coordinate various projects, initiatives and events; andPerform other related duties and supporting projects as requestedThe ideal candidate will possess:University degree or equivalent or three to five years of comparable experience supporting senior management in a similar environment;Excellent attention to detail and accuracy;Sound judgement with a very high degree of integrity and discretion;Enjoys people, is open, approachable, tactful, politically sensitive, diplomatic, and abides by confidentiality;Excellent administrative, organizational, planning, interpersonal and problem-solving skills;Excellent written and verbal communication skills; andExcellent administrative and computer skills including HRIS experience, word processing, spreadsheets and presentation software (Microsoft Office), Office 365This professional exempt position works in an office environment, requiring some travel to various work locations within Burnaby. Regular work hours are 8:30 am – 4:30 pm, Monday to Friday.
