*The Opportunity:*Reporting to the General Manager, the Office Manager will be responsible for day-to-day administrative and office support, as well as all aspects of accounts payable/ receivable for our growing Ontario site. The selected individual will be comfortable supporting team members across multiple departments and carrying out all assignments with accuracy and speed. The ideal candidate is ambitious, passionate about performance and improvements, is a natural collaborator, and thrives in a dynamic work environment.Contract Term: 15 MonthsAs an Office Manager you will:
  • Maintain a high level of customer service for both internal and external customers; addressing general inquiries, greeting and assisting all visitors/clients via phone, email or in person, collaborating with security to ensure standard operating procedures are adhered to
  • Coordinate and process purchase orders and invoices
  • Provide a variety of administrative support to multiple departments, as needed. This includes, but not limited to compiling expense reports, accounts payable and receivable duties, meeting coordination and set up, booking travel arrangements, etc.
  • Inventory management for all office supplies and resources (stationary, office furniture, equipment, consumables) and return/warranty process in full
  • Handle incoming and outgoing mail: sort and distribute incoming mail; prepare outgoing mail for pick-up or courier, including the waybill management
  • Supporting the logistics of new employee onboarding and addressing basic human resources related queries, in collaboration with key internal stakeholders
  • Coordination and filing (electronic and/or physical) of accounting documents/records
  • Manage all aspects of the office’s space/infrastructure planning (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requested
  • Contribute to a positive team atmosphere, assisting with various tasks as required
As an Office Manager you bring:
  • 2+ years of office management or administrative assistant experience
  • Degree or Diploma in Business Administration, Finance or relevant area of study preferred
  • Previous bookkeeping or accounting experience an asset
  • Experience in a manufacturing setting strongly preferred
  • Proven knowledge of office management responsibilities, systems and procedures
  • Experience with ERP systems an asset
  • Computer proficiency with Microsoft Office Suite (MS Word, Excel and PowerPoint)
  • Excellent time management skills and ability to multi-task and prioritize work
  • A positive and proactive attitude and a strong work ethic
  • Exceptional interpersonal, verbal and written communication skills, with a strong attention to detail
  • Demonstrated ability to exercise good judgment
