Job Description

The Alberta Securities Commission is the industry-funded regulator responsible for administering the province #39;s securities laws. It is entrusted with fostering a fair and efficient capital market in Alberta and with protecting investors. As a member of the Canadian Securities Administrators, the ASC works to improve, coordinate and harmonize the regulation of Canada #39;s capital markets.The Information Technology (IT) team is responsible for making sure that the ASC has the appropriate resources necessary to ensure the consistent, reliable and secure delivery of services, and understanding and anticipating the organization’s unique technology requirements.This role reports to the Chief Information Officer (CIO) and provides administrative support for the CIO and two managers. The role is responsible for the execution of various administrative tasks in both novel and routine situations that involve: independent and proactive thinking; a high degree of accuracy; and excellent judgement and problem-solving abilities.The successful candidate will be professional and take initiative to anticipate and meet the needs of the positions they support.

  • Creating and improving documents, including converting styles, performing mail merges, inserting media into presentations, cross-referencing, indexing, creating tables, working with graphs and objects, etc. in a variety of Microsoft software.
  • Proofreading and editing documents for appropriate formatting, spelling, grammar and sense/clarity. Includes document version comparisons and checking for accurate revisions.
  • Preparing expense reports and out-of-province travel requests for the IT division and maintaining related records.
  • Coordinating payment of invoices and responding to requests from Financial Services.
  • Organizing, scheduling, and maintaining calendars in a proactive manner for the CIO and managers.
  • Making logistical arrangements for travel, and the organization of meetings (taking minutes, boardroom bookings, document materials, and catering).
  • Preparing, drafting, formatting, and editing correspondence, reports, agendas, presentations, and other materials with minimal supervision.
  • Filing, photocopying, printing, scanning, and other duties as required.
  • Tracking inventory and maintaining related records.
  • An administrative certificate/diploma and a minimum of five years of progressive administrative experience including several years supporting or interacting at an executive level. Equivalent combination of relevant education and experience may also be considered.
  • Strong attention to detail, with a sense of ownership and responsibility.
  • Proven advanced computer skills; particularly MS Word, Excel, PowerPoint, Outlook, Zoom, MS Teams, social media platforms and other technology.
  • A proactive approach to performance, and be personable, flexible and sensitive to confidentiality.
  • Previous experience planning and coordinating events would be considered an asset.
