Job Description

Job DescriptionReporting to the Branch Operations Lead, the Service Scheduler will be responsible for generaladministration duties, maintaining daily /weekly reports, lockouts and reschedules. The position will berequired to communicate with customers, efficiently update service data, collaborate with service anddistribution, and work within a team-based environment. It will be the Service Scheduler responsibility tohave a detailed knowledge of computer applications (i.e. Microsoft Office Suite), business reports for bothinterpreting and compiling, and the Customer Service System (for both inquiry and input).GENERAL RESPONSIBILITIES:

  • Manages the service orders that are generated into AccuSchedule ensuring we are not overcapacity for what we can achieve each day.
  • Schedule Service Work Orders with Customers
  • Sends out daily communication to our Inside Sales Team letting them know what our next available service date is.
  • Generates, compiles, and distributes all daily, weekly, and monthly reports as required.
  • Review the branch sheets daily and sort them into complete, R/O or reschedule. Distribute the run sheets to Service Staging.
  • Creates and distributes service scheduleamp; run sheets approximately 3-5 days in advance for Inside Sales, Field Service Technicians, and Service Stager on a daily basis. In creation of runs, ensure that they are efficient based on geography/area, job type, total hours and abilities required to complete the job.
  • Maps each run out to ensure highest efficiency, also takes into account trade days or special requests for specific times.
  • Authorize, amend, or reject any service additions or changes after run sheets have been distributed. Clearly communicate last minute changes affecting the run sheets are to the Stager.
  • P.O.’s: Maintain status of PO’s and make sure all are accounted for, logged, and approved.
  • Team Effort: Request and provide assistance to ensure all tasks are completed daily. Verify that the branch staging process is followed and adhered to.
  • Vehicle Maintenance: maintain and update all VM reports daily.
  • Assign, route and distribute scheduled service orders as required and ensure all service paperwork brought back is accounted for and processed through proper channels.
  • Update Corporate Service Report Card.
  • Other duties: Perform other duties as assigned by others and by requirements of this position.
