Job Description

ROLE:The Health & Safety Administrator is responsible for assisting the safety team and ensure that all documentation, orientations, and office requirements are performed and maintained in a professional and organized manner.KEY RESPONSIBILITIES:Assist the safety team in implementing and maintaining health & safety programs and processesProvide support and assistance to field support personnel and conduct site safety orientationsCollect all personnel safety tickets and alcohol and drug test results as per site requirementsEnsure employees complete paperwork properly prior to leaving orientationEnsure no orientation is given without appropriate safety tickets and D&A resultsEnsure all safety commitment posters are posted and signedEnsure hard hat name labels and medical forms are completed prior to leaving orientationEnter all safety related training into training matrixFile employee orientation confirmation documents with training tickets to appropriate employee and subcontractor filesCollect all FLHA, tailgate, vehicle equipment logs, and other safety related documents daily and file into appropriate locationsObtain, print, and file all equipment certifications as equipment arrives on siteMaintain incident log as incidents occurMaintain vehicle equipment log submissions to ensure compliance is being met throughout projectReport any deficiencies to Safety LeadCopy equipment logs with deficiencies and place copy into master mechanic mailbox for repairUpdate site ERP as necessary reflecting any changes of phone numbers and contactsRecord, document, and file meeting minutes/agendas for weekly foreman safety meeting, general safety, and other meetings as per management requestsAssist in the creation and distribution of safety notifications and bulletinsUpdate Company server with all incident reports, including supporting documentsScan and upload completed meeting minutes with sign ins for safety meetings, pre-phases, general safety meetings, and safety stand downs as well as other documents as per team requestsEnsure all binders are properly labelled and stored neatly and accessibleMaintain appropriate inventory of all hard hats, stickers, safety books (logs, tailgates, FLHA’s, etc.)Note: In addition to these duties personnel are required to carry out such other duties as may be reasonably required in order to support the objectives of the company.POSITION REQUIREMENTS:QualificationsActively pursuing National Construction Safety Officer (NCSO) or Occupational Health & Safety CertificateHSA certification is desirableExperienceMinimum 3-5 years of relevant experience as a Safety Administrator or similar role, preferably in the oil & gas construction industrySkills and KnowledgeUnderstanding of the oil and gas construction industry (preferably pipeline construction)Knowledge of Occupational Health and Safety (OHS) RegulationsAbility to maintain a high level of accuracy and confidentiality concerning employee/contractor filesExcellent organizational skillsAdvanced knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook)Knowledge of administrative and clerical proceduresWORKING CONDITIONS:This position is field based and often works within remote project locations. Travel and/or living in temporary accommodations is required. This position requires a working schedule of 6 days on 1 day off, working 12 hour shifts for the duration of project.REPORTING RELATIONSHIPS:The Health & Safety Administrator reports to the Project Health & Safety Manager.We thank all applicants in advance.
