The Town of Cochrane is located in the breathtaking Bow Valley corridor in the foothills of the Rocky Mountains in southern Alberta. The Town of Cochrane welcomes innovative and skilled individuals to join our team of over 250 employees.Cochrane’s Operations Services section is responsible for the operation and maintenance of Roads, Water/Wastewater, and Waste & Recycling within the Town. Their goal is to provide a high level of customer service to the public, Cochrane taxpayers, Town council and other Town departments. This is an important team at the Town and they are in need of an Administrative Assistant.Ok, but what is an Administrative Assistant at CochraneReporting to the Director, Operations Services this position is required to perform an array of administrative duties for the Roads, Water/Wastewater, Waste and Recycling and Parks Sections including administrative, technical or customer service support. The Administrative Assistant is also accountable for drafting, reviewing, and editing time-sensitive correspondence, data entry and file management.This person is a customer service focused professional with attention to detail and the ability to balance multiple priorities. They provide support for residents and visitors. They’re a part of a team that is evolving and responding to the Town’s increasing population and complexities. Want to be a part of this exciting timeOn a day-to-day basis the Administrative Assistant might be doing some of the following:

  • Plays a key customer service role for the section receiving, directing, and responding to requests from internal and external customers for the business section.
  • Reviews and prepares all documents, reports, agendas, presentations, and other correspondence materials using the required MS Office Suite applications.
  • Develops, or maintains a records management system (including classifying and coding electronic and hardcopy files).
  • Schedules and coordinates meetings, appointments and travel arrangements for managers or supervisors.
  • Reviews, evaluates, and distributes all incoming and outgoing mail (including faxes and electronic mail) and respond to specific inquiries.
  • Handles requests for information and data.
  • Maintains and monitors office equipment and supply inventory; places orders as required.
  • Enters and maintains customer data base, produces monthly account billings for processing of both bulk water purchase and wastewater disposal accounts. Reconciles and submits bulk coin deposits to accounts receivable.
  • Compiles monthly data into the Water Treatment Plant Annual Report
  • Communicates with sport leagues and/or individual user groups to coordinate and schedule all athletic field and ball diamond usage and invoicing.
  • Updates facility status line as required.
  • Processes applications and follows up on permits required by each section to ensure compliance (i.e., Street Use, Equipment Usage, Parks and Open Spaces).
  • Website – maintains and enhances profile for all sections.
  • May be responsible for responding to cemetery inquires, scheduling and billing of internments.
  • Ensuring all documentation is recorded in database and original documentation is sent to records management.

  • High school diploma or equivalent.
  • Completion of a post-secondary program in the administrative profession or equivalent educational and experience in related environment considered an asset.
  • Demonstrates excellent customer service, organizational, prioritizing, time management and problem-solving abilities.
  • Previous experience organizing and maintaining records and files.
  • Ability to work independently and manage one’s time.
