Job Description

PeopleWorx is a non-profit charitable organization in Annapolis Valley dedicated to providing supports to employers and those seeking employment and training.Reporting to the Chief Financial Officer, the Finance Clerk is an integral part of the finance/ administrative team. The Finance Clerk is responsible for accounts payable, accounts receivable, and payroll.Responsibilities1. Accounts Payable

  • Manage and organize all accounts payables documents. This includes purchase orders, packing/receiving slips, expense claims and invoices
  • Record copier counts for remittance to copier companies in accordance with existing service agreements and distribute expenses among projects
  • Download and electronically distribute organizations phone bills to projects
  • Reconcile and pay monthly visa bill
  • Reconcile and replenish petty cash
  • Accurately and efficiently match and code documents for posting and payment
  • Ensure payments are reviewed and approved by appropriate manager(s)
  • Prepare payments in an accurate and timely manner
  • Maintain and prepare remittance for group health premiums and distribute expense to appropriate projects
  • Prepare pension contributions and distribute expense to appropriate projects
2. Accounts Receivable
  • Manage all accounts receivable documents. This includes invoices and receipts
  • Accurately and efficiently prepare and post accounts receivable invoices and receipts
  • Assesses customer accounts on a regular basis and seek out payment on any outstanding invoices
  • Generate invoices for tenants, external service providers, government agencies and workshop participants
  • Record all receipts and prepare deposits
3. Attendance Management/Payroll
  • Prepare bi-weekly payroll for employees and stipends for participants/students
4. Other duties
  • Maintains an efficient filing system
  • Prepares annual fiscal information for archives and subsequently prepares new fiscal filing system
  • Packages, addresses and applies postage to all financial related communications
  • Collects, updates and maintains current information on all vendors, customers, staff and participants
Other general administrative duties as assigned by the Chief Financial Officer and the Executive DirectorQualifications1. Education
  • Post-secondary education in the area of business, administration or equivalent experience
  • Bookkeeping training is required
2. Experience
  • Minimum two years experience
3. Skills
  • Proficient with Simply Accounting and Microsoft Office particularly excel
  • Highly organized and systematic in delivery of tasks
  • Excellent written and oral communication skills
  • Positive nature and a team player
  • Ability to prioritize and demonstrate flexibility with work loads
Work With UsJob Context:
  • Full-time position located in the Coldbrook, Nova Scotia Office.
  • Standard weekday hours of 8:30 am - 4:30 pm occasional overtime may be required.
  • Probationary period of six months
  • Clear Criminal Record Canada-wide
