Job Description

Job Title: Executive Assistant, Full-Time, Permanent PositionLocation of Position: Corner Brook, NLHours of Work: Monday to Friday, 9:00 am to 4:00 pmRate of Pay: $40,000./per annum The Executive Assistant is responsible for providing support to the Band Manager and the Human Resources Manager. The Executive Assistant is to ensure the efficient day-to-day operations of the offices of the Band Manager and the Human Resources Manager.Responsibilities:Provide secretarial and administrative support to the Band Manager and the Human Resources ManagerPrepare and maintain the Band Manager's calendarMake travel, meeting and other arrangementsPrepare for meetings, ensure that all meeting preparation is complete prior to the date of the scheduled meetingDraft minutes of meetings for review and approvalEnsure that reports for the Band Manager are received by the deadline date by following-up with members of the management team prior to the deadline dateProvide back up to the Office Administrator and other administrative staff by filling in, preparing for and attending meetings when requiredManage BambooHR software, ensuring that all employees are on file and files are maintainedEnsure that annual HR sign-offs are in place and up to date for all employeesEnsure that expired training for employees is renewed in a timely mannerEnsure that proper coverage exists in all areas of the organization prior to final approval of Leave Requests in BambooHR by the HR ManagerPrepare and submit payroll notes to the Finance Dept. for bi-weekly payroll processingManage and record information on applicants applying for job openingsEnsure that employee Personnel files are complete and up to dateAssist with New Hire OrientationAssist with HR Duties as requiredScan/code and file documents according to established proceduresPreparation of documents using: computer word processing, spreadsheet and database softwareOther duties as requiredQualifications:Education: A degree or diploma in Post-Secondary education in Business Administration, Office Administration, Office Management or related education. Education and training in Human Resources would be a definite asset.Experience: 1-3 years of experience in a similar office setting. Proficiency in the use of word processing, spreadsheet, and database software. Proficiency in the use of office equipment.Working Conditions: This position is office based. The duties are predominantly met during regular business hours.
