Job Description

Job Title: Office Administrator, Full-Time, Permanent PositionLocation of Position: Corner Brook, NLHours of Work: Monday to Friday, 9:00 am to 4:00 pmRate of Pay: $40,000./per annum The Office Administrator will provide support to the Chief and Council of Qalipu First Nation, the Band Manager, and the Director of Operations. The Office Administrator will act as the Health & Safety Coordinator and take responsibility for the Health and Safety programs for all office locations. The Office Administrator will be responsible to oversee the ISO program, ensuring that the Band is compliant at all times.Responsibilities:Office of the Chief of Qalipu First NationPrepare and maintain the Chief's calendar. Provide reminders to the chief on a daily basis of appointments/meetings, etc. that he is scheduled to attendProvide secretarial and administrative support to the Chief, Band Manager and Director of OperationsSupport Band Council and others in the organization with meeting, travel, per diem and other arrangementsOversee the planning of meetings, ensuring that all requirements have been met prior to and during the meetingDraft minutes of meetings for the Band and various entities for review by the Chief and the Band ManagerEnsure the timely distribution of material to the Band Council and other meeting participantsDebrief Directors, Managers and Staff following the Band Council meetingsCreate an action list for management and staff from Band Council and other meetingsHealth and Safety ProgramsOversees the Health and Safety programs for all office locationsEnsures that Health and Safety programs are set up and maintained in all office locationsEnsures that meetings and reports are completed by due dates and sent to management and the appropriate government departmentFollows up to ensure that corrective action has been completed by the target dateUpon identification of a situation that poses a H & S risk, acts immediately to correct the problemInvestigates and provides reports to management on all incidents/accidents and potential risksISO Program:The Office Administrator will be responsible to oversee the Internal ISO Program for the Band, ensuring that the Band is compliant with ISO requirements at all times.General:Ensure strict code of conduct and conflict of interest policies are maintainedMaintains a positive and professional attitudeOther duties as requiredQualifications:Education: A degree or diploma in Post-Secondary education in Business Administration ,Office Administration, Office Management or other related education. Education and training in Health & Safety would be a definite asset.Experience: 1-3 years of experience in an office setting. The Office Administrator must be proficient in computer word processing, spreadsheet and database software. Experience in Health & Safety would be a definite asset.Working Conditions: This position is office based. The duties are predominantly met during regular business hours.
