Job Description

Job Title: Office Administrator, Full-time Permanent PositionLocation of Position: Corner Brook, NLHours of Work: Monday to Friday, 9 am to 4 pmRate of Pay: $40,000./per annum The Office Administrator will provide support to the Chief and Council of Qalipu First Nation, the Band Manager, and the Director of Operations. The Office Administrator will act as the Health & Safety Coordinator and take responsibility for the Health and Safety programs for all office locations. The Office Administrator will be responsible to oversee the ISO program, ensuring that the Band is compliant at all times.Responsibilities:Office of the Chief of Qalipu First Nation

  • Prepare and maintain the Chiefs calendar. Provide reminders to the chief on a daily basis of appointments/meetings, etc. that he is scheduled to attend
  • Provide secretarial and administrative support to the Chief, Band Manager and Director of Operations
  • Support Band Council and others in the organization with meeting, travel, per diem and other arrangements
  • Oversee the planning of meetings, ensuring that all requirements have been met prior to, during and following the meeting
  • Draft minutes of meetings for the Band and various entities for review and acceptance by the Chief and Council and the Band Manager
  • Ensure the timely distribution of material to the Band Council and other meeting participants
  • Debrief Directors, Managers and Staff following the Band Council meetings
  • Creates an action list for management and staff from Band Council and other meetings
Health and Safety Programs
  • Oversees the Health and Safety programs for all office locations
  • Ensures that Health and Safety programs are set up and maintained in all office locations
  • Ensures that meetings and reports are completed by due dates and sent to management and the appropriate government department
  • Follows up to ensure that corrective action has been completed by the target date
  • Upon identification of a situation that poses a H & S risk, acts immediately to correct the problem
  • Investigates and provides reports to management on all incidents/accidents and potential risks
ISO Program:
  • The Office Administrator will be responsible to support the Internal ISO Program for the Band, ensuring that the Band is compliant with ISO requirements at all times.
General:
  • Ensure strict code of conduct and conflict of interest policies are maintained
  • Provide secretarial and administrative support to other departments as required
  • Maintains a positive and professional attitude
  • Other duties as required
Qualifications:Education: A degree or diploma in Business Administration, Office Administration, Office Management, or other related education. Education and training in Health & Safety would be a definite asset.Experience: 1-3 years of experience in an office setting. The Office Administrator must be proficient in computer word processing, spreadsheet, and database software. Experience in Health & Safety would be a definite asset.Working Conditions: This position is office based. The duties are predominantly met during regular business hours.
