Job Description

As a Real Estate and Lease Administrator, reporting to the Director of Real Estateamp; Leasing, you #39;ll support our team by managing and coordinating real estate and leasing activities. Your key responsibilities will include assisting with lease management including negotiating terms, tracking renewals and terminations, preparing documents, and ensuring compliance. You #39;ll maintain and distribute lease records to relevant departments and provide recommendations on handling legacy documentation, with some travel required to our administrative sites.What you will do:Tenant communication: Communicates with tenants to address their needs, concerns, and complaints. They may also coordinate tenant move-ins and move-outs.Risk management: Gathers insurance certificates from all tenants and ensures proper insurance coverage per each individual lease agreement. Coordination of surplus properties for the Real Estateamp; Leasing team: Draft and create surplus reporting package for distribution to the Minister of Education and other parties for approval.Tracks and ensures that the Ministry of Education responds within the legislated timeframe and follows up to streamline the process. Property maintenanceamp; Capital deployment: Assists with arranging for maintenance and repair of non-operating school properties managed by the organization, including coordinating with TDSB, vendors and contractors.Coordinates with the TDSB Designamp; Renewal team to ensure that regular status updates are received for capital projects on the non-operating school portfolio. Ability to draft and issue RFPs and RFPQs is required.Budget tracking: Helps prepare and track budgets related to real estate and leasing activities, including monitoring expenses and ensuring that costs stay within budget.Supporting real estate legal functions: Provides support and assistance in completing property transactions, such as reviewing of agreements, noting critical dates, submitting title and off-title search requests, assists in resolving title issues, and reviews surveys and plans for description and encroachment issues.Systemamp; Documentation management: Assists with maintaining the Leasing system and preparing and maintaining documentation related to real estate and leasing activities.Compliance support: Ensures compliance with all relevant laws and regulations related to real estate and leasing activities.Reporting assistance: Helps prepare reports on real estate and leasing activities for management and other stakeholders, including providing quarterly statistics for TLC Board Reporting.Other: Maintains a professional and positive attitude when interacting with clients and tenants; Attends and participates in meetings and training sessions as required; Other duties as assigned.RequirementsWhat you will have:College diploma or equivalent with certification or designation in a related field such as PMP, CLO, CPM, CRES, FRI; or an acceptable combination of education, training and experience related to the position. 2 – 5 years of relevant experience in real estate, leasing, lease administration, property management, legal, or related industries. Strong communication, interpersonalamp; relationship building skills.Ability to prioritize and multitask in a fast-paced environment.Proficient in Microsoft Office and other relevant software applications including real estate specific Leasing Software (Yardi, MRI, APEX by Lease Harbour), Project Management Software, etc.Familiarity with local real estate laws and regulations.Strong organizational skills and attention to detail.Ability to work independently and as part of a team.Flexibility and willingness to travel to various TDSB sites.Please submit your cover letter and resume by the end of business on Thursday June 13, 2024.At TLC, we value inclusiveness and diversity and are an equal opportunity employer.
