Job Description

  • Monitor, respond to and follow up on messages in the linguistic mailbox on a daily basis.
  • Administer the enrolment tool for language courses (entries, changes and follow-up)
  • Update the Excel language training calendar
  • Send link to participants prior to virtual classes
  • Approve training requests in the enrolment tool based on competency criteria
  • Provide employees with information on language courses and propose appropriate courses
  • Correct online tests and follow up as necessary
  • Send a weekly list of employees for approval to the linguistic coordinators, and follow up and issue reminders as necessary
  • Coordinate open houses: booking rooms or venues, communications
  • Monitor courses with limited enrolment and notify the person in charge
  • Assess training session capacities, adjust according to operational needs and facilitator schedules
  • Help with course promotion and communications
  • Manage publicity/ads for recruitment or promotions in special publications: French minority press outside Quebec and targeted diversity groups
  • Provide administrative support to instructors, third-party vendors and the rest of the team: IMAC requests, pay, contract, invoices
  • Provide technical support to students and language instructors a t beginning of classes (on Teams or Zoom)
  • Respond to and resolve unforeseen situations (absence of instructors, students, classrooms, and so on)
  • Manage contract service agreements for new contracts and for contract renewals (including travel arrangements and promotional codes).
  • Manage monthly reports and other ad hoc reports
  • Provide assistance when needed (sudden peak requests or during vacation) in administration of accommodation requests
Qualifications
  • Previous HR or training experience an asset
  • Three to five years of experience with similar tasks
  • Great organizational skills and ability to prioritize various tasks
  • Strong knowledge of MS Office Suite (Word, Excel, Power Point, Teams, Zoom)
  • Strong Customer focus Skills
  • Detail-oriented and administrative rigour
  • Ability to handle multiple tasks simultaneously
  • Strong skills for organizing and coordinating events
  • Excellent written and oral skills in English and French
  • Ability to interact with all levels of the organization
  • Strong teamwork skills
  • Ability to maintain confidentiality
  • Flexible
