Become a backbone of support that will be relied upon to drive our mission every day.Specific AccountabilitiesWhat you will do:Receive incoming invoices, validate to budget detail and prepare payment coding instruction details for Accounts Payable, ensuring the proper signatory authorizations are obtained.Provide administrative support to, and participate in, committees, task force and project teams as required.Evaluate, communicate, record and distribute all incoming and outgoing correspondence.Manage travel requirements as assigned including airfare and accommodations, and support the expense claim management process, as required.Receive incoming/forwarded phone calls, taking and distributing messages.Ordering and maintaining stationary supplies and supply room.Capture and input information, both for presentation and storage, into the appropriate software.Coordinating tasks within the department as assigned (eg. ordering lunches, consolidating data, etc).Other administrative duties, as assigned inclusive of: meeting arrangements, minute-taking, filing, invoicing, travel/meeting bookings, ordering office and kitchen supplies, mail runs and distribution of the daily mailFoundational knowledge and experience to grow fromWe want you to join our team!Must-haves:Post-secondary education and/or learning courses preferred.Minimum of one year administrative experience.Excellent administrative and organizational skills with the ability to prioritize job responsibilities and manage high volumes of information effectively.Proficient with Microsoft Office suite of products, including but not limited to Outlook, Word, ExcelInteract with others with sensitivity, tactfully, diplomatically and professionally at all times.Build and maintain relationships with management, staff, and clients to enhance professionalism and productivity.Strong and highly flexible, solid interpersonal and communication skills, both written and verbal, that allow one to work effectively in a diverse environment.Good analytical skills with strong attention to detail.Convey information using the tools necessary, engaging the audience to ensure the message is delivered and understood, creating a positive first impression with confidence and respect.Ability to work effectively with minimal supervision.Take your career further with CWB.
