Job Description

Special Eligibility As this position is funded by the Canada Summer Jobs program, the Programs eligibility criteria requires that the successful candidate:

  • must be between 15 and 30 years of age at the beginning of the employment period;
  • is a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment; and,
  • has a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations.
Position OverviewThe Administrative Assistant is a key role within Boyle McCauley’s administration team. Primarily supporting the Executive Director, the Admin Assistant will serve in a multi-faceted position to support communications, team development, organizational logistics, and event coordination for the organization. The Administrative Assistant will have a broad range of professional experience and problem-solving abilities to be able to work independently, be self-directed, and be a significant asset to Boyle McCauley’s organization and infrastructure. This position will be expected to be able to communicate at a high level in a professional and discreet manner.Key Responsibilities
  • Support the Executive Director, Medical Director, and Director of Operations in the day-to-day functioning of Boyle McCauley; including functions of schedule management, calendar organization, communications, and routine administrative support
  • Create and sustain systems to manage information, schedules, due dates, stakeholder engagement, and deliverables for the administrative team
  • Manage office logistics – this includes keeping functional workspace and workflow for the administrative team
  • Information management, via databases of vital organizational data including donors and funders, volunteers, and human resources information for employees
  • HR and Finance support – assisting with activities such as recruitment, orientation, and onboarding of employees, filing, data entry, managing employee files
  • Office coordination – redirect employees to the appropriate person/place for inquiries, book meetings, order supplies, manage inventory
  • Serve as the point of contact for building facility-related items (I.e., situations that require service to be performed for IT, plumbing, security systems, etc.)
  • Manage logistics and record-keeping for Boyle McCauley Board of Director meetings, under the supervision of the Executive Director
  • Manage document filing, retention and destruction processes and schedules
  • Fundraising/Communications support – grant writing, fundraising activities, social media management, and website maintenance
  • Other duties as assigned
Key Skills
  • Strong written and verbal communication skills
  • Proficient in Microsoft Office software; strong abilities in word processing, spreadsheet processing, calendar management, and creation of presentations and other media
  • Strong organizational skills to manage information, files, and other data; need to be able to manage shared network folders within the server and via OneDrive and Microsoft Teams
  • Resilient and positive attitude, and an appreciation for working in the non-profit sector serving marginalized populations
  • Self-motivated, pro-active, strategic, reliable, and resourceful
  • Able to adapt quickly and efficiently when pulled in to support various business functions throughout the day
Requirements
  • Post-Secondary education in Business Administration or a related field is considered an asset
  • Minimum 2 years experience in an administrative role
  • Previous experience in a similar role strongly preferred
  • Experience in grant writing, fundraising and/or social media preferred
  • Must have a valid driver’s license or other means of transport between work sites and events
  • Criminal record and vulnerable populations sector checks are required
  • To comply with BMHC’s Mandatory Vaccination Policy, the successful candidate must have proof of double vaccination from a Canada Health approved vaccine against COVID-19
