Job Description

ABVMAJob Title: Administrative Assistant, Discipline Job Code: Report to: Complaints Director and Deputy Registrar Salary Band: Job Summary The Administrative Assistant, Discipline reports to the Complaints Director and Deputy Registrar providing administrative assistance in addition to supporting the Executive Assistant, Discipline, Investigators, HearingsDirector, Committee of Council (appeal/review) and various complaint or discipline committees.The Administrative Assistant, Discipline works closely as part of the ABVMA team and together they protect the public interest by upholding provincial standards, supporting the veterinary profession and the professional development of those in the veterinary profession.Responsibilities1. Performs administrative duties in support of the Executive Assistant, Discipline and ComplaintsDirector and Deputy Registrar including but not limited to management of files, correspondence, calendar of meetings, travel arrangements and conference arrangements.2. Provides administrative support to Investigators and Hearings Director as directed.3. Provides support for preparation and posting of agenda packages, minutes, correspondence/project initiatives, travel and accommodation arrangements for the following: a. Disciplinary Committees (any discipline or complaint related committee) b. Practice Review Board c. Hearing Tribunal d. Complaint Review Committee e. Hearing Director f. Other task forces, working groups and projects as required4. Provides support for maintaining records and minutes of complaints and discipline related meetings or hearings and other projects as required.5. Prepares communication including but not limited to presentations, letters, and reports for internal and external stakeholders as directed by the Complaints Director.6. Works in alignment with Executive Assistant, Discipline and Executive Assistant, Regulatory to ensure full coverage of administrative requirements across the ABVMA executive team.7. Supports the ABVMA team to ensure all matters related to complaints, investigations, meetings, hearings and appeals are handled professionally and promptly.8. Assists that Executive Assistant, Discipline to support the Complaints Director and Deputy Registrar in preparations for the Annual General Meeting and works in partnership with Executive Assistant,Regulatory with regards to the AGM.9. Supports the Executive Assistant, Discipline in the invoicing and receivables recovery for discipline related matters.10. Responsible for the administrative support to Tails of Help charitable foundation under the direction of Deputy Registrar.11. Reviews Council minutes to stay current with upcoming ABVMA business.12. Attends ABVMA events as required.13. Other duties and responsibilities as assigned.Competencies

  • Proficient with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, SharePoint, OneDrive,

  • Proven organizational skills and demonstrated ability to prioritize competing requests.
  • Adjusts communication content and style to meet the needs of various stakeholders.
  • Ability to work independently and as part of a team.
  • Proven communication skills, both verbal and written.
  • Ability to develop and maintain positive working relationships with a variety of internal and external stakeholders.
  • Exercises problem solving skills and applies sound judgement regarding escalation of issues.
Education
  • Post‐secondary diploma in office administration, business or equivalent is an asset.
Experience
  • 3 years of experience in office administration or an equivalent combination of education and experience.
Working Conditions
  • Standard hours of work are 8:00 a.m. to 4:00 p.m.
  • Remote work may be expected of the Administrative Assistant, Discipline when required and approved.
  • Works within an office environment.
  • Occasional travel for out of office meetings.
  • Valid class five driver’s license is an asset.
