Secondments are welcome.This position is a part of the Non-Academic Staff Association (NASA).This position has an end date of September 15, 2023 and offers a comprehensive benefits package which can be viewed at: Faculty & Staff Benefits.Location - North campusDepartment summaryThe Office of the Registrar is a key contributor to the overall student experience at the University of Alberta; from the moment a prospective student starts thinking about university, through to convocation and the multitude of points in between.Position summaryUnder the direction of the Deputy Registrar, the University Calendar Editor is responsible for the production and maintenance of the University Calendar. They serve as an expert resource to the Registrar’s Office staff, Colleges, Faculties and Departments regarding the development and production of the Calendar including serving as the first point of contact and trainer for 20+ Faculty and Department Calendar Contacts.Duties

  • Develops annual Calendar production schedule and ensures that sections are updated by the designated Calendar contacts in the faculties or units.
  • Ensures all University Calendar changes have been approved by the appropriate governance body, are consistent with other policies, procedures, and content standards. Coordinates the development, updating and proofing of approved academic content and other content for publication, and ensures that the University Calendar is ready for publication.
  • Provides advice and assistance to Faculties regarding writing University Calendar copy for proposed policy changes, regarding policy approval procedures and timelines.
  • Works with Associate and Assistant Registrars, Faculties, and Departments to create Governance Executive Summaries, for submission to committees within Governance to ensure changes for Admission, Academic Standing and Regulations are approved by appropriate committee to ensure updates are made to the Calendar within deadlines.
  • Liaises with the Calendar catalog/content management system provider to resolve technical issues in the system.
  • Analyzes workflow, policies, and procedures related to Calendar and makes recommendations for improvement.
  • Provides expert knowledge and advice in relation to University governance, policies, and procedures related to academic programs.
  • Develops and maintains references and resources such as the Calendar Guide site, which outlines policies, procedures, standards, and best practices related to the University Calendar.
  • Creates in-person and online training programs for faculty and staff on Calendar changes, curriculum and content management systems in collaboration with University Governance staff.
  • Continually develops methods to seek feedback from student, faculty, and staff users and implements changes in the Calendar as necessary.
Qualifications
  • Minimum Bachelor’s Degree required
  • Knowledge and experience with content management systems and databases required
  • Strong organizational and project management skills, able to organize unit workload, production schedules and resource requirements
  • High level of critical thinking and analytical problem-solving skills required
  • Ability to operate within a complex and highly decentralized work environment required
  • Ability to research, analyze and summarize complex issues
  • Excellent writing, editing and proofing skills and experience
  • Excellent communication (oral and written), interpersonal, presentation, and organizational skills
  • Ability to establish and maintain effective working relationships with a diverse population
  • Accuracy and ability to meet deadlines are essential
  • This position is required to have extensive knowledge of the governance system and approvals required for all of the academic programs within the University
  • Experience in a communications expertise in web content management, HTML, XML and XML Editors is an asset
  • Experience in business development processes and project management skills is an asset
  • Experience in policy analysis, development, interpretation, and implementation an asset
  • Knowledge of University policies and procedures are an asset
