Job Description

Council Executive Assistant Until October 2025Job Number : 44296Consider this unique opportunity to work closely with City of Edmonton Ward Councillor Jennifer Rice. As the Executive Assistant, you will be part of a team working together to further the objectives of the office in an ever-changing and fast-paced work environment.This position is a highly complex support role, reporting directly to Councillor Rice, Ward Ipiihkoohkanipiaohtsi. You will be responsible to ensure that the variety of demands that arise in the Councillor’s office are handled appropriately. Using your broad knowledge of how the City functions (policies, procedures, systems) you will:

  • Ensure the Councillor is adequately briefed and prepared before any and all council or committee meetings, and any other function the Councillor may attend
  • Proactively identify issues and requirements and escalate up to the Councillor. Handle a variety of complex and politically sensitive issues that arise based on the concerns of constituents and other key stakeholder groups
  • Engage in policy development and research including preparing briefings, recommendations, and reports to the Councillor
  • Prepare correspondence, briefings, speeches, newsletters, website blogs, social media posts, presentations, and other ward communications
  • Manage social media accounts and websites
  • Review, research, and follow up with media inquires
  • Carry out strategic planning including preparing communication, public engagement, and social media strategies and plans
  • Work with the Councillor and other office staff on communication processes. Respond to constituent and stakeholder telephone and email inquiries and concerns. Either provide requested information or direct requests appropriately
  • Be the point of contact for internal departments and external groups and stakeholders, ensuring clear communication and information sharing with the Councillor and other office staff
  • Organize and coordinate the logistics for ward events and activities including preparing all materials and on-site requirements
  • Coordinate the Councillor’s schedule including arranging meetings, appointments, and community/ward events
  • Manage and maintain the office budget in communication with the Councillor and working with the Councillor on authorization for expenses
  • Be responsible for contract administration and procurement
  • Create and maintain documentation, procedures, trackers, databases, and other office information management systems
  • Coordinate information flow and records management for the ward office
Qualifications :
  • Completed university degree is required and a minimum of 3 years experience in a policy, outreach, and/or communications professional role preferred
  • Strong experience in strategic communication, branding, event planning and organizing, media relations, social media and other communication tools preferred
  • Exceptional ability to summarize reports, research and analyze information, and compose correspondence
  • Exceptional ability to recognize politically sensitive issues and bringing matters of priority to the Councillor’s attention.
  • Demonstrated issues management and communication briefings skills and experience
  • Strong interpersonal skills, including the ability to work with a diverse range of individuals. This ranges from internal departments and to outside groups and agencies.
  • Strong organizational skills including a thorough knowledge of the principles and techniques of effective office management and the role of an Executive Assistant.
  • Above average ability to effectively use Microsoft Office, Google Docs/Apps, social media, and other applications
  • Proactive problem solver with a customer-oriented mindset
  • Detailed understanding of Edmonton’s municipal governance and related issues
  • Demonstrate service excellence, embracing diversity and promoting inclusiveness
  • Valid Alberta Driver’s License is an asset
  • Flexibility to occasionally attend evening and weekend community events
  • Experience working with elected officials or senior executives in government is an asset
