Job Description

Golden Arrow Tours Ltd is currently seeking an experienced Charter/Tours Dispatch Supervisor to work from our Edmonton, Alberta location. The purpose of this position is to be responsible for the scheduling and dispatching of drivers locally, regionally and nationally. He/ She must have good accuracy, communication, and follow up skills and ability to put the dispatch puzzle together with competencies in multitasking.Key responsibilities for this position include:

  • Schedule available drivers to cover scheduled routes and charters
  • Review & update the day’s trip sheets and itineraries taking note of any discrepancies or problems and making corrections in an effort to enhance the efficiency of the route or charter
  • Reconfirm all assignments with drivers documents to assure quality control
  • Monitor the arrival and departure of bus drivers and buses to ensure that drivers have reported, as scheduled, and that all bus runs have the proper staff
  • Review driver paperwork for accuracy and timely submission
  • Monitor and communicate with Bus Drivers and others concerning such ‘environmental’ information as weather, road hazards, road closings, traffic delays, etc.
  • Show decisiveness and maintains self-control during emergencies and other high-pressure dispatch situations
  • Track buses using geographic positioning system (GPS) equipment
  • Maintain an up-to-date list of fleet vehicles, drivers and their contact information
  • Prepare daily paperwork for report times, vehicles & trip itineraries
  • Report any maintenance or personal issues to management
  • Receive and process transportation requirement requests from customers
  • Demonstrates a comprehensive knowledge of all facets of driver duties as outlined in employee handbook.
  • Comply with all applicable federal and state regulations regarding operation of commercial vehicles
  • Proactively troubleshoot and resolves potential problems before they result in service issues
  • Perform on call dispatch duties as needed after hours and weekends
  • Maintaining driver’s personnel files and filing all necessary paperwork
  • Perform other duties, as assigned or needed
Knowledge and Abilities:
  • Demonstrate a comprehensive knowledge of maps in Canada and United States
  • Familiarity with DOT motor coach regulations
  • Computer literate with average typing skills; able to use computer applications such as spreadsheets, word processing, e-mail, and proprietary transportation software
  • Possesses excellent interpersonal communication skills both oral & written
  • Ability to maintain confidentiality, act with integrity and professionalism
  • Ability to interact effectively as a leader or a member of a team and work collaboratively with other department’s personnel to achieve common goals
  • Ability to effectively listen, understands, and responds positively to requests with the appropriate sense of urgency.
  • Ability to adapt to changing assignments and multiple priorities/tasks
  • Ability to work independently and prioritize work and perform well under pressure while successfully meeting all deadlines
  • Ability to troubleshoot and problem solve
Experience /Requirements:
  • Minimum of 3- 5 years’ experience in a dispatch position working for a motor coach or similar company
  • High school diploma or GED required
  • College program in logistics or equivalent business-related experience preferred
  • Advanced computer skills - Outlook, Excel, Word
  • Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times
  • Able to work well under pressure
  • Flexible, able to deal with change
  • Strong attention to detail
  • Very organized, with excellent multi-tasking and problem-solving skills
  • Excellent customer service/communication skills
  • Strong work ethic and positive team attitude
