If that sounds good to you, let’s get to work!What will you doYou’ll be joining Prospect – one of Alberta’s most innovative not-for-profits, contributing to the betterment of life and the furthering of a more diverse and inclusive society. If you’re administratively adept and love planning events while maintaining a warm and friendly persona, keep reading!Duties include:

  • Full cycle coordination of event planning and support including:
    • Managing within a pre-determined budget
    • Collaborating with the team to understand and achieve the desired outcomes of the event
    • Vendor research, contract negotiation and booking
    • Planning and confirming overall event layouts
    • Coordinating catering and event entertainment/speakers
    • Working with MarComs to get invitations and materials created
    • Managing invitation lists and keeping up to date spreadsheets
    • Send out mass invites
    • Input data into Salesforce
    • Support with attendee questions
    • In-person support to handle logistics at events
    • Overseeing technical requirements at events
    • Coordination of photographer
    • Determination of on-site staffing or volunteer requirements
    • Ensuring events are Prospect branded and all accessibility needs are met
    • Working with Facilities staff when events are held on site
    • Reaching out to attendees after event completion to conduct impact surveys
    • Working with Workforce Advisors on any ancillary tasks related to events
    • Some travel is required for the role
What does it take to do this job
  • 2+ years of event coordination and administration
  • Strong problem-solving skills
  • Solid interpersonal and client service skills with the ability to work effectively with a variety of stakeholders including clients, funders, and staff
  • Strong Teamwork and collaboration skills
  • Superior time management skills
  • High degree of initiative and ability to work independently with minimal supervision
  • Administration skills for events and reporting
  • Intermediate to Advanced skill level in Microsoft Office
  • Strong verbal and written communication skills

  • All employees must pass a criminal background check
  • Successful candidate to have a valid class 5 drivers license
  • All employees must be flexible to work on-site as well as remotely, based position and program requirements
