TREC is a pan-Canadian and international longitudinal health services and knowledge translation program of applied research. It is multi-disciplinary with approximately 30 researchers from 8 universities and 20 core decision makers; it is functions in an integrated KT or partnered model. We have long standing relationships with stakeholders, end users, policy makers and our citizen advisory group. TREC maintains a cohort of 94 nursing homes and has a world-class database that has been running continuously for 15 years. Additional information about the TREC research program is available at the following URL: https//trecresearch.ca/.Position summaryUnder the leadership of the Scientific Director, the Executive Assistant provides a wide range of administrative support to the Scientific Director and Assistant Director including supporting numerous committees, planning and scheduling the calendar of the Scientific Director and the Assistant Director and coordinating travel and events. The Executive Assistant maintains the highest levels of professionalism and discretion and is the first point of contact for the Scientific Director and TREC’s external stakeholders and internal contacts and colleagues.DutiesProvides administrative support working under the general supervision of the Scientific Director and Assistant Director of TREC, including:

  • Plans and schedules calendar(s) based on consultation with Scientific Director and Assistant Director.
  • Ensures they have appropriate background/briefing materials for each meeting.
  • Prepares minutes, draft agendas, emails, internal communications, agendas and other correspondence.
  • Compiles and summarizes information for inclusion in reports or presentation materials. Prepares charts, graphs or tables as necessary.
  • Is the first point of contact for TREC, receives visitors, guests and dignitaries on behalf of TREC and interacts with faculty, staff and students.
  • Coordinates travel arrangements for staff.
Minimum Qualifications
  • Office Administration Certificate or relevant experience
  • 3-5 years experience as an Executive or Administrative Assistant
  • Proficiency with Microsoft Office applications Google Apps, Adobe and Zoom are required.
  • Excellent organizational skills and attention to detail.
  • Strong communication (verbal and written) abilities; high level of interpersonal skills.
Preferred Qualifications
  • Experience with University of Alberta policies, processes and technology applications is an asset.
  • Excellent spelling, grammar, editing, and proofreading skills
  • Excellent tact and professionalism to facilitate negotiation, conflict resolution, and handle highly confidential matters.
