Reporting through the Corporate Services Manager to the CHRO, the Executive Assistant provides comprehensive executive and senior level support to the CHRO office and HR leadership team. This executive professional must be self-motivated and have significant experience in developing systems and processes that support the efficient management of an Executive Office. They must be extremely organized, demonstrating a high standard of service and accuracy, ethics, and confidentiality. The Executive Assistant is expected to manage daily activities in a professional and tactful manner and is often the first point of contact for the CHRO to internal and external stakeholders. The successful candidate will excel at client relations, timely and effective communication, general office administration, and will perform optimally in a complex, fast-paced, and evolving environment with exceptional attention to detail, responsiveness, and an ability to reprioritize rapidly. The Executive Assistant is directly responsible for: scheduling and maintaining multiple calendars, preparing briefing notes, presentations and other documents, collating budget asks, preparing and tracking budget submissions, reconciling expenditures, triaging correspondence, and booking and providing support for meetings and events. Additionally, the Executive Assistant coordinates travel arrangements, maintains records management systems, coordinates activities related to space allocation, supplies and equipment, and performs other related duties that advance the strategic priorities of the organization. The Executive Assistant supports special projects within the portfolio and will build strong relationships across the organization to enhance the delivery of service. Minimum of 5 years of progressively responsible administrative support experience is required; with at least 2 years in a senior administrative support position preferred. Must have the demonstrated ability to create and implement systems and processes to effectively support a senior executive and their office. An equivalent combination of educationamp; experience will be considered. Additional Required Qualifications: Must be proficient at learning and using a variety of computer applications including MS Office suite, MS Teams, SharePoint and video conferencing software. Strong ability to manage multiple complex calendars and schedules. Exceptional interpersonal and verbal/written communication skills, including formatting, grammar and spelling. Ability to capture meeting deliberations concisely and accurately through minute taking. Ability to coordinate and organize events and special projects. Ability to effectively set and manage priorities and thrive in a complex, fast-paced environment. Must be extremely accurate and detail orientated and capable of managing multiple priorities while displaying a calm, professional and tactful demeanor. Ability to complete duties with numerous interruptions. Must have a high standard of ethics and confidentiality in handling of sensitive information. Ability to work independently with minimal direction/supervision. Willingness to be flexible and provide support/assistance as required. Experience working in an Oracle environment is beneficial.
