Job Description

Intake Coordinator Summer Student - Indigenous Peoples Summer Student Opportunity 4 monthsJob Number: 461661 temporary full-time position for 4 months intended specifically for students currently enrolled in an administrative or business administration post-secondary certificate, diploma, or degree program, commencing in May 2023The City of Edmonton is searching for a highly-motivated, enthusiastic, and reliable candidate to join the Corporate Access and Privacy Office this summer.In this role, you will learn about the provincial Freedom of Information and Protection of Privacy Act (FOIP Act) and how it supports citizens in accessing information in order to understand how decisions are made about their community. This will include communicating with citizens about their FOIP requests, drafting correspondence, processing fees, and searching for and handling records containing sensitive information.As an Intake Coordinator, you will further develop your organizational, analytical and written and verbal communication skills when dealing with the public and varying levels of City employees and other governments. This is an exciting opportunity (or as we like to say, it’s Fun with FOIP) to support the access and privacy field, which is an important right valued by the City.Note: This position will be working on-site at the Churchill Building (downtown Edmonton near City Hall).Responsibilities Include:

  • Be the first point of contact for the Corporate Access and Privacy Office
  • Liaise and communicate with internal and external stakeholders by telephone, email and other correspondence including email
  • Receive incoming hard copy mail from the general public, City staff, and other government bodies and redistribute as applicable
  • Manage the office’s dedicated email inbox and general telephone line
  • Review, open and close requests in our case management system and ensure electronic folders are complete when closing files
  • Request records for fire investigations and incident report requests
  • Request files from the Corporate Records Centre when required
  • Manage and maintain tracking spreadsheets for requests
  • Draft and send correspondence for requests files upon request
  • Process fee payments for FOIP requests including fee refunds
  • Exercise discretion when prioritizing time sensitive information
  • Provide administrative support to team members including scanning, photocopying, printing, and mailing
  • Manage office supplies inventory and orders
Qualifications:
  • Currently enrolled in an administrative or business administration post-secondary certificate, diploma, or degree program
  • Demonstrated ability using Google workspace applications (Gmail, Google Docs, Google Spreadsheets, Calendar, Google Drive, etc.)
  • Proficient typing and data entry skills
  • Effective verbal and written communication skills and ability to maintain strong working relationships
  • Demonstrated ability to take direction from and provide support to various City staff
  • Demonstrated ability to multitask with attention to detail
  • Ability to thoroughly and accurately create and maintain detailed electronic records
  • Excellent time management and organizational skills, including the ability to prioritize work tasks and make independent decisions related to task management and calendar requests
  • Hire is dependent on a Criminal Records Check (CRC) security clearance that is satisfactory to the City of Edmonton and is a requirement of this position, there may be a cost associated with this requirement

  • Currently enrolled and returning to school or a post-secondary institution in the fall of 2023
