Job Description

Old Strathcona law firm seeking full-time conveyancer (permanent position)Highfield Law Office is a firm that specializes in real estate. We have been in the area for over 15 years, and we pride ourselves in providing great service to clients while maintaining reasonable rates. We are looking for someone who can join the team as a full-time conveyancer / real estate assistant. While we know that the following traits are common in postings, we are truly looking for someone who is mature and responsible, is able to multi-task and handle numerous files at once, and can excel in individual tasks while able to work well in a group setting. Note: We are looking for someone who can be with us for at least a few years -- or even longer -- to ensure proper long-term staffing levels.The ideal candidate would be able to handle numerous files (during our busy season, this can go up to 50 files / month for one assistant). To be more specific, your duties would include:

  • Opening/closing files, performing requisite searches, reviewing contract details;
  • Reviewing mortgage instructions (for purchase / refinance files) to confirm lender requirements;
  • Contacting clients to discuss transaction details and schedule meetings;
  • Preparing documents for office use and client execution (such as transfer documents, mortgages, faxes, letters, and the like);
  • Processing bank drafts, cheques, and deposit book entries, and writing out cheques (basically, you have to be good with numbers);
  • Preparing reports to banks and clients;
  • Liaising with professionals in the field, such as other lawyers and assistants, real estate agents, bank representatives, mortgage brokers, insurance agents, etc.;
  • Contributing to the shared workload (answering phones and e-mails, basic office cleanup, and other such work -- we do not have a receptionist or cleaning staff); and
  • Providing solid and positive customer service even during difficult situations.
Because we focus on real estate, there is a strong customer service element to our work. This means that you would have to handle numerous interactions with clients and other people throughout the day; you must be, to some degree, a people person . Also, as we are a law office, we are looking for someone with a strong attention to detail and a solid ability to write succinctly and professionally.We are looking for a team member with the following assets and skills:
  • REQUIRED: Computer literacy. As a real estate law office that produces many, many documents in a single day, we need someone with strong computer skills, with intermediate knowledge and experience with Microsoft Office and similar word-processing/document programs. The faster you can (correctly) type, the better.
  • REQUIRED: Near-native English abilities. As a law office in an English-speaking province, it is imperative that our staff is able to communicate clearly and correctly in English, as errors and miscommunication can be highly detrimental to our office.
  • REQUIRED: Multi-tasking abilities. You may be doing a fax on one file and get a call on a second file, while a client walks in about a third file. This isnt true multitasking, but you must be able to juggle numerous files and issues at once.
  • RECOMMENDED: While we dont require someone with experience in the field, any related experience, of course, would be an asset (such as office experience). Due to the highly technical nature of real estate legal work, related experience is looked at very favourably.
  • RECOMMENDED: We do not need someone with a legal assistant diploma. However, we generally prefer candidates with post-secondary education.
The following are basic details about our office that you should be aware of:
  • The salary is commensurate with experience. A more experienced candidate will receive a higher starting wage. By the same token, a less experienced candidate who excels may start off lower but would receive wage increases and bonuses to reflect the solid performance.
  • All new staff have a three-month probationary period. After the period, the job is a permanent position.
  • Our office hours are 8:30 a.m. to 4:30 p.m.. As our work is time-sensitive, there are no set lunch times (otherwise, clients would be left in the dark right when money is due), but you can set your own breaks as required.
  • At our office, the legal assistants are responsible for a majority of a real estate file. Other law offices have assistants who may be mostly document creators; however, at Highfield, the staff are trained to handle the day-to-day work of the files. This means that you must be quick to think on your feet and exercise your critical thinking skills, while motivating yourself to complete all your tasks in a given day without helicopter management.
  • We do not have a formal dress code. We obviously dont want you coming to work in full spandex, but you are not required to wear a dress or suit to work. We simply ask that you look presentable and work-appropriate (for example, a polo/blouse and jeans is fine).
  • Overtime may be required from time to time, but its not mandatory. Its honestly completely dependent on the workload. While it isnt common, our work is somewhat seasonal (slower in winter, busier in summer) and if there is too much work, you may need to work overtime. Of course, you would be compensated for said overtime.
  • You must be a team player. The way our office is structured, the staff are grouped together in a common area. There are shared office duties, and there may be times when a staff member would have to assist another (for example, if there are many issues on one persons files). The ability to be able to work together and get along, especially when physically in the same area, is crucial.
