The Northern Spirit Regional Council of The United Church of Canada is seeking an individual to fill the role of Regional Council Office Administrator, on a full-time (35 hours/week) permanent basis.The United Church of Canada is a community of hope, a vibrant and vital church with both purpose and vision. Within the United Church the General Council Office supports the mission and ministry of the communities of faith and regional councils. It is the denominational expression of The United Church of Canada, working ecumenically and in global partnership.Within the United Church, the Regional Council, as part of the wider United Church of Canada, is a decision-making body responsible to serve and support Communities of Faith within its bounds and provide necessary oversight.The Northern Spirit Regional Council is a collection of Communities of Faith serving in northeastern British Columbia, the Northwest Territories, and northern Alberta, united in bringing Gods hope, peace, joy and love to our part of Gods creation. Northern Spirit, Living Skies and Prairie to Pine Regional Councils are part of the same staffing region and have some shared staff that serve all three Regional Councils.The Regional Council Office Administrator provides effective and efficient administrative support to the Regional Pastoral Relations Minister, Program Staff in the region, volunteer commissions and committees of the Region. The main areas of focus are:Administrative Support to the Pastoral Relations Minister: · Provide daily, ongoing administrative support to the Regional Minister including the flow of communication, meeting preparations, workshop materials etc., handling confidential written and verbal communications appropriately;· Serve as an information resource for the Executive, Commissions, committees, task groups, clusters, networks, volunteers, and Communities of Faith in matters related to the work of the Pastoral Relations Minister;· Receive and appropriately manage documents, forms and files (paper and electronic) related to pastoral relations, oversight of Communities of Faith, oversight and education of lay leaders (i.e. Licensed Lay Worship Leaders, Congregational Designated Ministers), all in consultation with, and under the oversight of the Pastoral Relations Minister;· Assist with technology associated with Pastoral Relations processes and Community of Faith Covenants, to the Pastoral Relations Minister, Pastoral Relations Liaisons, Commissions, Communities of Faith, and Ministry Personnel;· Post related pastoral relations work to the website, as required; and· Provide administrative support related to Clergy Registration for Marriages, supervised by the Pastoral Relations Minister (UC Governing Authority for Alberta, BC and NWT).Pastoral Relations Commission and Assigned Committees: · Coordinate all Event/Meeting arrangements, providing hospitality, as needed;· Take and transcribe meeting minutes and notes, as requested, and perform meeting follow-up tasks;· Support LLWL processes, Ministry Personnel connection/recognition, connection with Pensioners, Student Bursary Fund and cards of support/celebration/appreciation; and· Provide primary administrative support for the Annual Meeting and other Regional Council Gatherings and the Celebration of Ministries.General Administrative Support to the Region: · Provide administrative support to program staff and the Finance Administrator;· Maintain and provide oversight of the electronic/paper file system;· Maintain and update the Regional Directory and databases related to Communities of Faith, Lay Leaders and Ministry personnel, Churchhub;· Edit and write, as requested, for the Weekly E-Newsletter in consultation with the Regional Minister: Justice and Communication;· Provide website maintenance (shared with/support to/from the Regional Minister: Justice and Communications and the Executive Assistant);· Support the Regional Council Executive by preparing the Annual Statistics Reports (Forms 1-7) updating changes throughout the year, correspondence, and perform other duties as requested; and· Prepare correspondence for General Council Grants/Loans, Moving Assistance Grants and other Regional Council Grants/Loans as required.Office Coordination· Coordinate Event/Meeting arrangements and providing hospitality, as needed, for the Executive, Commissions, Committees, Task Groups, and Staff gatherings;· Manage the Administrator and Regional Council email accounts;· Responsible for telephone system programming, recording automated greetings;· Responsible for surface upkeep/neatness of the Regional Council Office;· Maintain office supplies ordering or purchasing supplies as needed;· Maintain equipment, participating in training on maintenance and use of computer equipment, apps and electronic filing systems as required;· Coordinate shared services with Kirk Centre (paper recycling and scanner/copier use) and manage correspondence from Kirk Centre with respect to rental space.Qualifications· Post-secondary education· 2-3 years’ experience in a senior administrative role, experience in a not-for-profit setting is desirable;· Strong computer skills in the use of various software applications - Office 365, Dynamics, SharePoint, One Drive, Teams, Zoom, WordPress, Jotform, Zoom, Pheedloop, Dropbox, Google Apps [YouTube, Docs, Drive], and with other office aids (phone system, scanner/copier, etc.)· Excellent communication skills, interpersonal, verbal and written, including recording and transcribing minutes, writing, editing, proofreading with an eye for detail, along with the ability to listen carefully and respond appropriately;· Well-developed administrative, planning/time management, problem-solving, organizational and follow through skills, with the ability to juggle multiple tasks at the same time;· Ability to discern when requests or tasks are within one’s position scope and capacity, and when to refer requests appropriately;· Ability to work independently, with little supervision, as well as in a team environment with a commitment to team approach and collaboration with colleagues;· Flexibility with the ability to effectively and positively deal with changing situations or priorities;· Research skills with the ability to collect, analyze data and write routine reports, draft letters, correspondence;· Knowledge of the life and work of The United Church of Canada;· Alignment with the vision and values of The United Church of Canada – respect, integrity, passion and diversity;· Initiative, good judgment, tact, discretion, resourcefulness, and creativity in problem solving;· Ability to adapt to new learning with the capacity to instruct and assist others;· Respectful behaviour toward all persons: sensitivity and understanding will guide all relationships and in particular where culture, ethnicity, gender, sexual orientation, disability or age may be an issue;· Ability to maintain confidentiality and appropriate boundaries at all times;· A willingness to learn about the polity and theology of the United Church, and sensitivity to the social and cultural realities of the Northern Spirit Region.As part of our ongoing commitment to the Accessibility for Ontarians with Disabilities Act, The United Church of Canada will aid employees who request accommodation throughout their employment with us, unless the position is deemed to be a bona fide occupational requirement and/or to the point of undue hardship considering issues of health, safety and cost.Working ConditionsThis is a hybrid position working 2 days per week in a normal office environment in the Regional Council Office, located in Edmonton, Alberta and 3 days per week working from home.
