Job Description

Lotus Group is proud to partner with our valued and innovative client in the Fluid Solutions industry to identify a highly skilled, Office Manager. We are looking for a strategic liaison who is well versed in speaking with all levels of stakeholders and skilled in a wide range of Office Manager and Executive Administrator functions, including various administrative and organizational needs, recruitment, job and performance assessment, policy and procedure responsibilities and employee relations.Based in the Edmonton Area, the Office Manager will be the primary point person for the Executive team, support the administrative and office-based employees and monitor policy and procedures for improvements.The successful candidate will be detail oriented, a natural self-starter that is able to adapt in fast-paced environments with innovative solutions while working on handling many diverse projects on tight deadlines.Job Responsibilities:

  • Manage executive calendars, office calendar and events calendar, as well as project resource charting for the company.
  • Coordination of executive travel, booking hotels and checking transportation arrangements under tight deadlines and across multiple geographies for various departments.
  • Proactively stay connected to executives, diarize priorities daily and look for shifts.
  • Preparation of Agendas, minutes and reports for Board and Executive meetings as needed.
  • A leading ambassador for the Executive team and professional keeper of confidential information, with a keen ability to oversee culture while anticipating needs.
  • Coordinate with hiring managers the new employee hire packages, onboarding/testing/training and all corresponding documentation needed during probationary period, including diarizing/booking performance reviews.
  • Monitors job sites, updates job description bank and job postings as needed.
  • Provide support to the administrative team, office-based employees, shop, operations employees, executives and senior managers as primary first point of contact.
  • Maintains a highly organized, auditible and accessible electronic filing system for the office, executive and team.
  • Ongoing update to Organizational chart, policies and procedures as needed.
  • Streamlines HR policies and processes as needed in alignment with legislation and across multiple provinces.
  • Where needed, adjust policies and procedures in alignment with changes, best practices and company vision.
  • Keep an updated onboarding and off-boarding policy and process living document as the company evolves.
  • Prepare HR Management and Executives reporting as requested.
  • Basic HR administration daily as needed, including acting as a point of resource for all internal customer relations questions pertaining to benefits, EAP, and other HR related queries.
  • Format information for internal and external communication – memos, emails, presentations, reports.
  • Manage employee events, tickets, social gatherings, fundraising initiatives, and vendor appreciation projects as needed.
  • Maintain an office setup to optimize workflow, innovate and adjust where needed as the team grows and look for ways to streamline and simplify where possible.
  • Assist with a variety of office projects and processes.
  • Strong business acumen, high attention to detail, and a talented and accurate editor.
  • Strong understanding of social media and marketing initiatives.
  • Perform a broad variety of administrative tasks, including, but not limited to expense reporting and data entry.
  • Coordinate the administration of initiatives and programs to support Performance Management; Ongoing Professional Development; Employee Retention; and Internal Employer/Employee Brand Experience.
  • Research educational grants or staffing incentives the organization would be eligible for.
  • Compile turnover statistics and analysis program. Complete administration of engagement surveys in collaboration with input from the executive team in alignment with company vision and values.
  • Track Employee Retention metrics and conduct exit interviews.
  • Document and analyze trends to ensure that programs are meeting employee and company needs.
Job Requirements

  • Minimum 3+ years of experience as an Executive Assistant reporting directly to senior management.
