Come join a dynamic and exciting team who will help you realize your true potential.Your OpportunityStantec’s Alberta Environmental Services group is currently seeking an Office Safety and Environment Coordinator and Administrative Assistant to join our team in Edmonton. This is a great opportunity for a professional who has limited experience and is ready to learn and expand their knowledge and abilities. The person will take pride in meaningful and impactful work and helps support leadership in our Environmental Services group throughout Alberta. The successful candidate will support leadership-level and other staff in multiple capacities, including Health and Safety, document formatting, timecards, expenses, and travel while always maintaining confidentiality and strict ethical standards. The successful candidate will also engage with other staff within the Business Center, as required.Your Key Responsibilities

  • Maintain a secure filing system containing the forms, reports, and training records required by the HSSE Program
  • Act as a local resource for the HSSE Program, employee comments, concerns and suggestions
  • Help project managers, supervisors, and others obtain appropriate safety and environment equipment for employees working on their projects.
  • Conduct HSSE Program orientation for new employees.
  • Post and distribute HSSE Program documents such as policies, rules, practices, procedures, and forms.
  • Help supervisors and project managers prepare and file incident reports and conduct investigations.
  • Support efforts to track Stantec’s eco-footprint by providing information on resource management at an office level.
  • Communicate HSSE initiatives and support messaging in their area of responsibility.
  • Participate in regional OSEC conference calls.
  • Assist in worksite inspections as required.
  • Coordinate HSSE training as identified by HSSE Program requirements and hazard assessment.
  • Support the Environmental Services team in processing and managing travel, expenses, and timecards
  • Assist local Business Center (BC) staff with timecard administration
  • Attend monthly meetings and take minutes, ensuring they are distributed to the appropriate staff
  • Support and process requests from Environmental Services staff to attend conferences and training, ensuring they are approved, recorded, and tracked
  • Book and manage internal meetings
  • Work with local staff for document formatting
  • Works with documentation team on printing large deliverables as required
  • Records management including paper and electronic filing, archiving and retrieval of documents
  • Assist with Edmonton office events planning and implementation
  • Other duties as assigned
QualificationsYour Capabilities and Credentials
  • Proficient user of MS Office including Excel, Word, PowerPoint, Outlook, and OneDrive
  • Proficient user of Adobe Acrobat Professional
  • Proficiency with SharePoint and Oracle Applications is an asset
  • Demonstrated writing skills, along with solid verbal communication
  • Proven high attention to detail
  • Capable of working in a fast-paced, high demand environment
  • Demonstrated organizational skills with an ability to prioritize work
  • Proven critical thinking and problem-solving skills
  • Interest in Health and Safety
Education and Experience
  • Post-secondary education relating to Business or Business Administration
  • Minimum of 3 years’ experience in a similar role
Typical office environment working with computers and remaining sedentary for long periods of time. Occasional field work may include exposure to the elements including inclement weather.
