Job Title: City Image Signs -Project Coordinator PositionCity Image Signs- Edmonton, ABFull-time , PermanentWe are City Image Signs (CIS), formed in 2015 out of an acquisition of an existing manufacturing outlet that operated for over 35 years. Our updated manufacturing and operations have led to a large customer base and rapid expansion throughout Canada. Headquartered in Edmonton, Alberta, CIS has garnered national acclaim and awards including being named a 2-time BOCSIes Award Winner for Best Signage in Canada, Signs of the Times 2021“Best in show” winner, in addition to being featured in Sign Media magazine for our achievements and our creative, quality and process-based approach to successful projects nationwide.Servicing sectors such as retail, hospitality, real estate, commercial and private corporations - our focus is being a“one-stop shop” - offering customers a variety of signage solution services through successful project management, logistics, production, manufacturing, procurement and professional services, as well as the development of strategic installation and professional partnerships.We are looking for a strong multi-faceted Project Coordinator who will help anchor the project team and partner with the Project Managers in daily task management, install coordination as well as phase and milestone tracking - all while maintaining the same client focused approach that got us so far. The successful candidate must be a problem solver who can think on their feet.   • Apply project management strategies to daily operations to keep projects on track with set timelines.
  • Work extensively with Project Managers and Liaise with inter-departmental stakeholders to ensure project milestones are communicated and achieved.
  • Coordinate a variety of assigned projects and initiatives as assigned by the Project Managers.
  • Act as a key point of contact and communicate project status updates
  • Use Project management systems and practises to support projects efficiently and effectively
  • Work with Project Team to identify, capture, report and action any changes and/or risks to project scope - while recommending solutions.
  • Assign tasks to internal and external resources and partners
  • Actively participate in project meetings and perform support/ admin activities related to agenda, meeting minutes and/or action items.
  • Develop and prepare project presentations when required
  • Take and active role in tracking and Quality Control assessment of outsourced goods
  • Provide project status reports
  • Manage Installer communications and project specific contracts and tracking.
  • Successfully initiate and follow through with the change management procedures that may be required throughout the project life cycle.
  • Conduct periodic project audits on applicable project folders and deliverables to ensure documentation compliance, folder navigations and archive procedures are upheld.
  • Work with the Project team to successfully formulate and facilitate communication plans within select projects.
  • Work with the Design team to ensure project related designs and drawing packages are comprehensive and “production ready”.
  • Take part in the preparation of project closeout reporting
  • Conduct continuous process improvement practices by identifying gaps, gathering project information/data and developing recommendations for improvement and implementation.
Job Requirements:
  • Displays a strong understanding of google suite (Excel - intermediate to advanced skills are a huge asset going in this role in terms of reporting and documentation)
  • Provides strong problem-solving skills
  • Demonstrates flexibility and innovative workflow practises
  • Ability to prioritize, coordinate and manage multiple activities and projects occurring simultaneously
  • Provide excellent project coordination skills using an understanding of the project management methods and techniques (PMBOK best practices)
  • Exceptional interpersonal skills with the ability to work effectively with multi-disciplinary teams
  • Experience working with external stakeholder and industry partners
  • Proven planning organizational and problem solving skills
  • CAPM, PMP or other valid Project Management Professional Certification required
  • At least 1-2 years experience managing projects
  • 1-2 years of Signage experience preferred (but not required)
