Job Description

Basic Purpose: The Revenue & Reservations Specialist, ensures to maximize the Revenue per available rooms (RevPAR) for 3 properties by following the SilverBirch & Brand Reservation & Group Standards. They will be a support to the Director of Revenue Management and Sales Team while reporting directly to the Director of Sales and Marketing.This role may be located in Edmonton or Regina.Major Responsibilities and Duties (to fulfill major purpose):

  • Ensures each new Definite group is entered into OnQ R&I within 1 business day.
  • Ensures that group recap and contract are saved on local p drive
  • Audits cut-off dates, performs appropriate actions that maximize hotel revenue.
  • Manages room inventories and balances in case of room type overbooking. Liaison with Front office leader in balancing of room type inventory.
  • Enters and changes individual reservations or Rooming Lists as requested by sales team – shared with Front Desk.
  • Provides Rooming Lists as required by the sales team.
  • Manages FIT bookings (tourico/hotelbeds) and review their extranet on a regular basis to ensure all reservations are entered correctly and any changes to inventory are made. Completes administration duties for FIT portals (e.g. reviewing content, rates, users, etc.)
  • Reviews room rebates / comp rooms to ensure the correct data is reported and run Group Commission Report for groups OTB send to the accounting team at the start of every month.
  • Communicates any manual changes via email to the accounting office (e.g. change of market segment).
  • Processes commission requests (with accounting) and ensures Fast Pay is updated with the correct info.
  • Processes deposits for all group and catering clients.
  • In conjunction with GSM’s manages the perfect fill program. Tracks perfect fills on the 4tell.
  • Champions NOW articles relevant to Revenue Manager and Front Desk operations.
  • Updates Daily Actuals on Rooms 4tell and transient data tab.
  • Reviews Daily Night Audit report for both DT & H2. Coordinates with Front Office Leader to ensure any discrepancies are fixed.
  • Maintains promotions and packages sheet.
  • Monitors GROUP OTB, pick-up, inventory, and cut-off dates on a regular ongoing basis. Extends cut off after discussions with DORM.
  • Leads the Group Status report every week at the Sales & Catering meetings.
  • Ensures that rooming lists are entered within one business day.
  • Attends and maintains Brand Online training requirements and/or certifications.
  • Responsible for corporate rate loading and distributing client ID’s to the sales team
  • Attends all brand and SilverBirch revenue management training opportunities.
  • Assists DORM with month end reporting as and when required.
  • On site OnQ R&I Champion.
  • Assists the DORM in loading promotions as required and making sure they are implemented properly at the property level.
  • Assists corporate sales manager in identifying revenue opportunities from the daily arrivals report.
  • Conducts Annual – SRP audit (done in Nov, Dec every year).
  • Washes future groups in GRO (based on discussion with DORM and DOS).
  • Actions daily notifications, alerts, exceptions in GRO.
  • Updates hotel directory when communicated by Revenue team.
  • Identifies any incorrect PMG’s (Price Match Guarantee) offered and open a ticket for reimbursement with Hilton.
  • Conducts frequent competitor pricing analysis to ensure rate parity, corrects daily and seasonal rate positioning vs. the competition and communicate such to our Revenue Generation Team.
  • Provides 14-day operational forecast report to the operations team every Tuesday.
  • Completes weekly Star data.
  • Takes weekly Revmax minutes with action items and distributes to all.
  • Works closely with the brand Central Reservation team lead/agents; ensuring they have the proper information in the system, communicating our selling strategies/promotions, and conducting at least 1 test call per week.
  • Weekly: Enters Group pick up numbers in Delphi from the previous week after the group has checked out.
  • Weekly: Generates group resumes and meet with the Front Office team to pass on information for groups coming in the next week.
  • Weekly: Provides a group pick up, cut off and critical dates list to the sales team of any pending group blocks for the next 120 days (cut-off dates, rooming list, pick-up, overbooking etc.) at least 1 day before the Sales & Catering meeting.
  • Weekly calls with the DORM to discuss any issues, suggestions or help that might be required.
  • Weekly calls with DORM to review all overrides and actions in GRO and make adjustments as discussed.
  • Any other tasks needed done by DOS or DORM.
Skills, Knowledge and Abilities Required:
  • Excellent organizational skills and able to work in a high-volume environment, including multiple departments.
  • Detail oriented.
  • Excels in adapting to various computer programs and software including property management system, revenue management system, etc.
  • Excellent customer service and problem resolution.
  • A strategist, team player who likes statistical and financial analysis.
Working Conditions:
  • Normal office working conditions.
Experience, Training and Education (demonstrating requirements):
  • Undergraduate degree or diploma in finance and administration.
  • A minimum of 2 years in hotel revenue generations or front office & reservations.
  • Proficiency in Excel and spreadsheet applications.
  • Opera, OnQ or Marsha/FOSSE property management system experience would be an asset.
  • Previous Hilton experience considered an asset.
