We are here to assist with various services, including the creation of certificates of insurance, issuing waivers, information about insurance coverage and deductibles, and submitting insurance claims.Position SummaryThe Risk and Insurance Coordinator is currently a new position that is focused on critical elements and key activities that support institutional risk management strategies and policies. This role comes with a high volume of work in a very fast paced environment and requires a highly organized, detail orientated and reliable administrative professional who can multi-task and deliver on conflicting priorities and deadlines. The scope of this risk management position requires strong critical thinking and relationship skills as you guide stakeholders and clients through processes that assess and evaluate risk that supports informed decision-making.As an administrative professional, you are an individual with advanced technological skills who strives to build consistently applied structure and systems that improves information while reducing time and cost to stakeholders. As a risk champion, you will actively seek to expand and build a network that supports risk management awareness and education within other departments and portfolios. As an individual, you are seeking to specialize your skills towards the risk management discipline and do have a desire to be self-directed as you will have accountability for transactional work responsibilities.DutiesEvent Risk Assessment & Liquor License Management & Support

  • Advise stakeholders of the university on risk management policies, procedures, practices and risk mitigation practices. This role is responsible for all operational aspects involved in the administration of the University’s Liquor Licenses. This includes processing permit applications and issuing special event license request approvals, issuing activation tickets for Alberta Server Intervention Program, management and retention of documentation for event managers/key stakeholders or groups requesting permits for on and off campus functions.
  • Be the university’s subject matter expert and primary contact for legislation on AGLC laws and regulations as it relates to alcohol as well as raffles;
  • Liaises with the Alberta Gaming Liquor and Cannabis Commission (AGLC), University Protective Services, Dean of Students, Alumni Relations, Facility and Operations, HRHSE as well as with other key stakeholder departments and event managers.
  • Develop and/or update the university’s alcohol framework including all related policies and procedures to ensure institutional stakeholders are compliant at all times;
  • Manage and facilitate institutional alcohol suspensions, permits and permissions. This includes setting expectations and guidelines that will support key departments or event managers to assess all events to avoid harm to participants while mitigating other legal, regulatory or reputational risk. Other processes will include engagement of other areas of the university or external parties to ensure compliance to fire code (occupancy), education and awareness, as well as location management which permits alcohol service;
Institutional waiver and informed consent framework (excluding human subjects/participants) and program guidance, development and issuance;
  • The office of Risk Management & Insurance is responsible for developing, updating and issuing waivers and informed consents as part of academic and other institutional university business operations of the university.
  • Developing, updating and maintaining elements of the waiver and informed consent framework, associated guidelines, and associates procedures;
  • Supporting stakeholders to complete a risk assessment for a specific activity and then developing and issuing a waiver or informed consent to meet risks of a specific activity;
  • Ensuring that stakeholders are informed and understand procedural and document retention requirements for using waivers and/or informed consents;
Risk and Insurance Administration
  • As an administrative professional, you are highly organized, detailed orientated and have above average technology skills with Microsoft Office as well as website development including google forms and other automation functions (Autocrat).
  • Primary contact for review and issuance of certificates of insurance including requesting response to web form requests, review of supporting documentation for insurance specifications, requesting the certificate from the broker or insurer and completing the annual certificate of insurance renewal process;
  • Gathering information to support transactional claim or insurance process requirements including dbase maintenance and reporting;
  • Accounting support including processing payment, receivables, monthly claim reconciliations as well as deposits;
Travel Management Support
  • The Risk and Insurance department is the administrative office responsible for providing and supporting the Off-Campus Activity and Travel Management Policy, risk management information ‘tools’ for security and travel medical as well as payment of vender transactions related to insurance and/or assistance support.
  • Gathering information from internal stakeholders (UAI, Procurement, HRHSE) to support the annual review and renewal of third party security/travel medical risk management cloud applications. This may include leading the procurement process to assess and evaluate best options for the university and preparing an annual presentation to support decision making;
  • Monitor travel security and travel management assistance providers for emerging threat and provide this information to the attention of the Director and other key stakeholders in a timely manner.
Student Workers Compensation & Institutional Workers Compensation Volunteer Reporting – Institutional Support
  • The Risk Management and Insurance Department is responsible for institutional web information for student worker-compensation and WCBAlberta deeming order - volunteer reporting.
  • Develop quarterly communication bulletins for distribution in the University Digests and/or other methods of distribution to support the on-going awareness and education of the University Community;
  • Remit anticipated workers compensation volunteer hours to HRHSE by January 31, for the upcoming January to January year.
Legislative Compliance Administrative Support
  • The Risk Management and Insurance Department is responsible for the development and management and administration of the institutions legislative compliance framework.
  • Identify areas of compliance to support increased awareness and education. Work with communications and/or other stakeholders to develop materials for internal distribution to leaders and the university community.
  • Develop legislative reports on a quarterly and/or ADHOC basis as requested by the Director Risk Management & Insurance.
Database management, report development and other work
  • This role is responsible for ensuring that the claims, insurance database and/or google forms are kept up to date at all times with all criteria fields completed in full. Your knowledge of database management, building reports (export of data), Access (and/or other similar dbases) and using excel is a critical part of this role.
  • Develop monthly, quarterly, annual as well as ADHOC reports for stakeholders as requested by the Director of Risk Management & Insurance for all aspects of the department that includes liquor permit activities, waivers, claims, insurance, accounting activities as well as other reports on request;
Minimum Qualifications
  • 5-10 years plus demonstrated administrative experience
  • University or college degree
  • Risk management and or insurance designation an asset but not required
  • Similar work experience an asset but not required
  • Exceptional organizational skills with strong ability to multi-task and work in a very fast paced, high pressured/time sensitive and changing environment;
  • Strong communication skills (oral and written);
  • Exemplary interpersonal skills
  • Detail oriented with a passion for structure and automated systems and processes;
  • Positive attitude and customer service orientation;
