CNAS is home to over 14,000 undergraduate students and 3,000 graduate students through the Faculties of Agricultural, Life & Environmental Sciences; Engineering; and Science.Position SummaryReporting to the Director, Office of Education, the Team Lead, Student Systems is responsible for the development, maintenance and user-support of student-facing and administrative student information systems to effectively enhance the student experience from student application through to convocation. The Team Lead applies expertise in systems, project management, process improvement, business system analysis and customer service to support processes and information needs related to recruitment, admissions, enrolment, registration, academic standing, academic advisement, convocation, academic scheduling and student records.In collaboration with Information Services & Technology, the Registrar’s Office, College academic leaders, and other non-academic and academic partners, the Team Lead identifies opportunities for system enhancements and contributes to discussions on project prioritization for a coordinated effort in advancing our University priorities. By adopting a data driven approach to systems, processes and team performance management, the Team Lead coaches and mentors others in the delivery and support of high-quality systems solutions that meet evolving business needs. The Team Lead effectively acts as an expert resource with in-depth knowledge of the Universitys Enterprise Resource Planning systems and provides informed and valuable input on future enhancements to the college systems.Duties

  • Responsible for the overall planning and implementation of the college CRM (customer relationship management- currently in Filemaker Pro) database that manages our relationship with our students and helps us provide customer service, streamline processes and improves our service to students.
  • Responsible for systems-level analysis of new software systems which includes determining architectural alternatives, return on investment analysis of different tools and technologies, and current and future development requirements and options.
  • Responsible for Application-level Requirements Analysis involving different functional experts and production staff to ensure that application design correctly addresses the Faculty needs.
  • Provide lead analyst planning and execution of systems for the college post-secondary transfer student applications. These responsibilities include trouble-shooting technical problems which staff encounter with the services as well as monitoring the Campus Solutions extract processes and the daily load of the data generated by the extracts.
  • Responsible for the development, execution and maintenance of the college Academic Standing rules in Campus Solutions for over 14000 undergraduate students. The rules are applied during the automated process at the end of Fall/Winter and Spring/Summer terms to determine students’ academic standing and eligibility to continue in their programs.
  • Responsible for the development, execution and maintenance of the Academic Advisement Tool in Campus Solutions for all college undergraduate students, which requires the accurate configuration of over 150 different programs. This tool provides students an Academic Advisement Report to track their program progress, what is required, what has been met and what is still outstanding toward fulfilling graduation requirements.
  • Plan, model and design proficient, comprehensive and functional database solutions for management, organization and data processing to support the Student Services units in the College.
  • Enable the enhancement of the electronic presence of the College and its Faculties internally through enhanced student communications and interaction, for example through the CRM, ensuring that direct email messaging functionality is built into all design and workflow processes. This tool addresses the need to provide an easy way for staff to communicate and capture decisions to prospective and current students, hence providing greater functionality while also drastically reducing the amount of administrative work to maintain the information.
  • Responsible for application construction which includes writing applications in the selected platforms as well as automating system and application level processes with schedulers and other tools.
  • Determine, implement and interfaces between OASIS (Campus Solutions) and college computing systems in consultation with Office of the Registrar and IST
  • Develop user manuals for systems, procedures and practices; review practices with users, plan for additional training where necessary and revise as required.
  • Select, as necessary, and supervise full/part time employees and casual staff to ensure system use and reporting are accurate and maintained in a timely fashion
Minimum Qualifications
  • Undergraduate degree in Computing Science, Information Technology or equivalent.
  • Knowledge of post-secondary processes, procedures and operating requirements.
  • Experience with Campus Solutions/PeopleSoft, Alfresco, FileMaker Pro and other related interfacing applications.
  • Computer proficiency in MS Office applications (Word, Excel, Outlook) and the Internet.
  • Demonstrated ability to think critically, problem-solve, act decisively and exercise a high degree of initiative and judgment on a wide range of issues within a complex and decentralized work environment.
  • Excellent verbal and written communication skills.
  • Ability to teach, monitor and coach users with a variety of technical skills and understanding of systems.
  • Extensive “people” skills to oversee the coordination of business processes for CNAS student systems and to manage on-going change for the foreseeable future as it relates to that coordination.
  • Demonstrated ability to research, analyze and summarize complex issues and to communicate results effectively to all levels of management and non-management staff.
  • Ability to work independently and in a team environment
  • Strong organizational and interpersonal skills to develop effective relationships with Deans, Associate Deans, Department Chairs and Administrators as well as a broad network of contacts, on and off campus
Preferred Qualifications
  • Supervisory experience (staff management); experience supervising in a unionized environment
  • Training in project management and/or business improvement are assets
