Job Description

Valard, is Canada’s premier utility contractor, as well as head of the Valard Group of Companies AND part of the Quanta Group, the largest electrical power contractor in North America. Valard has full-service capabilities for transmission, distribution, substations, foundations, telecommunications and renewable energy. Valard is a full-service EPC+ utility contractor with almost four decades of experience, successfully completing projects across Canada.Reporting to the Travel Manager, the Travel Assistant, Major Projects will provide travel related support for various remote Project Management Teams and their crews. The Travel Assistant will complete tasks delegated by the Travel Manager and Project Manager’s, coordinate with vendors and service providers, and ensure that all members of the project teams have the resources they need to ensure that the project is moving forward successfully.All requirements will be performed in alignment with the Travel Manager, Project Manager, Construction Manager and Major Projects Support TeamThis position requires ability to work over time , weekends and holidays as required by project needsRequirementsProject Start Up

  • Book, coordinate and manage travel requirements for onsite personnel and site visitors
  • Work with various functional teams to support onboarding of personnel to major projects
  • Support development and maintenance of project management plans and project execution plans
  • Support Document Control processes and procedures
  • Review and follow communication protocols for the project
  • Ensure required documentation is available for project personnel, including drafting info sheets, procedures etc.
  • Support ad-hoc initiatives which are aligned with successful project start up
Project Execution
  • Book, coordinate and manage travel requirements for onsite personnel and site visitors
  • Ensure alignment of travel requirements based on construction schedule
  • Vendor relationship support
  • Assist Major Projects AP with reconciliation of general invoicing and coding related to travel
  • Escalate issues to applicable management team as required
  • Communicate with onsite personnel and other project stakeholders to support the basic operational needs of the project
  • Support adoption and utilization of standard project systems as per the key project execution processes deployed by the Project Systems group (e.g. project processes, templates, procedures, etc.)
  • Support ad-hoc initiatives which are aligned with successful project execution
Project Close-out
  • Support ad-hoc initiatives which are aligned with successful project close-out
  • Prepare, identify, review, and store final documents as required by the project
  • Assist with the documentation of lessons learned
Additional General Responsibilities
  • Project Assistant Support Functions including expense reports, purchasing, timesheets etc.
Knowledge, Skills, & AbilitiesKnowledge
  • Large crew travel movement (20+). This experience is essential to this position.
  • Construction techniques and principles
  • Business travel booking procedures (Air Canada, WestJet)
