TREC is a pan-Canadian and international longitudinal health services and knowledge translation program of applied research. It is multi-disciplinary with approximately 30 researchers from 8 universities and 20 core decision makers; it is functions in an integrated KT or partnered model. We have long standing relationships with stakeholders, end users, policy makers and our citizen advisory group. TREC maintains a cohort of 94 nursing homes and has a world-class database that has been running continuously for 15 years. Additional information about the TREC research program is available at the following URL: https//trecresearch.ca/.TREC is a complex research program which holds 18 active grants from national and provincial granting agencies and provincial government which total over $8 million. The program currently employs 28 staff, Postdoctoral Fellows, Research Associates, Research Assistants and trainees.PositionUnder the leadership of an Assistant Director, the Finance Administrator works with area leadership (e.g., Scientific Director and Assistant Director) to manage effective financial, human resource and administrative processes. The scope of this position includes initiation and completion of various financial and human resource functions, including but not limited to financial management and reporting, transaction reconciliation, reporting, business case development, appointments for students, support staff, academic staff and postdoctoral fellows. The incumbent ensures that all delivery is in alignment with the plans set by the Scientific Director. Work is initiated and competed independently with minimal supervision.DutiesFinancial Operations

  • Supports the Scientific Director and Assistant Director to plan, direct, and monitor all sources of funds for TREC
  • Undertakes the daily workflow of financial transactions and processes. Ensures accuracy, completeness, and timeliness of financial processes.
  • Initiates purchase requisitions, purchase orders and invoices
  • Performs credit card verifications and reconciliations
  • Initiates travel and expense claims for leadership and team members.
  • Reviews individual transactions and supporting documentation for accuracy, compliance to policy and appropriate authorizations.
  • Identifies, troubleshoots, and resolves transactional issues. Corrects errors. Escalates broader, more complex issues.
  • Manages contracts with external contractors.
Financial Reporting and Analysis
  • Maintains the schedule of regular grant financial reporting and develops reports for ad hoc and ongoing reporting requirements
  • Reports monthly on financial status with explanations for variances.
  • Provides cost estimates for new activities or changes to programs or services.
Strategy, Budget Planning and Forecasting
  • Participates in the strategic planning process.
  • Coordinates the annual budget planning and allocation process.
  • Prepares budget information for all projects.
  • Supports the preparation of budgeting assumptions, targets, contingency plans and risk mitigation.
Facilities and Human Resources
  • Liaises with the Faculty of Nursing Administrative Coordinator (Facilities) to ensure allocation of space for TREC, card access and appropriate security measures.
  • Liaises with the Faculty of Nursing Administrative Coordinator (HR) to hiring new staff for the unit
  • Maintains unit HR specific documents and information if not kept at the faculty or University level
Minimum Qualifications
  • A degree in business administration or a related field.
  • Minimum three years of experience with developing budgets, forecasting and financial reporting.
  • Minimum three years of experience in a post-secondary environment is preferred.
  • Strong skills with U of A applications are required
  • Knowledge of U of A policies and procedures is preferred.
  • Proficiency with Microsoft Office applications (particularly Excel), Google Apps, Adobe and Zoom are required.
  • Excellent organizational skills and attention to detail.
  • Strong communication (verbal and written) abilities; high level of interpersonal skills.
  • Ability to prioritize, take initiative and work independently.
