Experiencing the impact that our work has for building a sustainable future for Alexis is something we are passionate about.Backwoods Energy Services is 100% owned by the Alexis Nakota Sioux Nation and one of the largest Indigenous owned companies in Canada.Role SummaryThe Proposal Administrator plays a crucial role in the development, coordination, and submission of proposals in response to requests for proposals (RFPs), requests for quotations (RFQs), and other bid opportunities. This role requires a keen attention to detail, excellent organizational skills, and the ability to collaborate with cross-functional teams to ensure the timely and accurate completion of proposals. The Proposal Administrator serves as a central point of contact for all proposal-related activities, managing the end-to-end proposal process.ResponsibilitiesProposal Coordination:

  • Collaborate with various departments to gather information and content for proposals.
  • Coordinate and schedule meetings to discuss proposal requirements, deadlines, and key deliverables.
Documentation Management:
  • Create and maintain a centralized repository for proposal templates, boilerplate content, and other relevant materials.
  • Ensure all proposal documents are properly formatted, consistent, and adhere to organizational branding guidelines.
  • Ensure any additional bid documents are distributed to the appropriate individuals.
Deadline Management:
  • Monitor proposal deadlines and ensure that all internal and external deadlines are met.
  • Work closely with team members to prioritize tasks and allocate resources effectively to meet proposal deadlines.
Quality Assurance:
  • Conduct thorough reviews of proposals to ensure accuracy, completeness, and compliance with RFP/RFQ requirements.
  • Collaborate with subject matter experts to verify technical details and accuracy of content.
Submission Process:
  • Manage the final compilation and submission of proposals, ensuring they are submitted in accordance with the specified format and requirements.
  • Track and confirm the successful submission of proposals.
Relationship Management:
  • Act as a liaison between the organization and external stakeholders, including clients, partners, and subcontractors during the proposal process.
  • Foster positive relationships with internal teams to facilitate effective collaboration.
  • Provide support to the Business development and estimating team as required.
Continuous Improvement:
  • Identify areas for process improvement in the proposal development and submission process.
  • Implement best practices to enhance the efficiency and effectiveness of the proposal management process.
Qualifications
  • Post Secondary or Bachelor’s degree in a relevant field (e.g., business, communications, marketing) an asset.
  • Experience in business communication and professional business writing.
  • Experience with proposal coordination an asset.
  • Excellent written and verbal communication skills.
  • Strong organizational abilities.
  • Past CRM experience an asset.
  • Attention to detail and ability to work under pressure to meet tight deadlines.
  • Strong analytical and problem-solving skills.
  • Ability to work collaboratively in a team environment.
  • Adaptability to handle multiple projects simultaneously.
  • Proactive and self-motivated with a commitment to quality.
  • The Proposal Administrator plays a pivotal role in enhancing the organization #39;s competitive edge by presenting well-crafted proposals that align with client needs and expectations.
  • Note this position requires the successful individual to work from our head office in SW Edmonton.
